About The Position

Provide executive administrative support to multiple senior leaders across Ultrasound Technology, Clinical Research, and Marketing. This role requires strong judgment, discretion, organization, and the ability to effectively manage competing priorities in a fast-paced environment.

Requirements

  • High School Diploma, GED or local equivalent.
  • 2+ years of administrative or executive support experience.
  • Knowledge of general office management and current computer/office communications technologies; expert in PowerPoint, Word, Excel and Outlook.
  • Self Starter, proactive, able to work independently with minimal direction, able to maintain confidentiality and handle matters discreetly.
  • Effective time management and organizational skills; able to balance multiple priorities.
  • Effectively problem solve and resolve a variety of issues and topics within the job scope.
  • Ability to effectively interact and communicate with senior level management and corporate contacts.
  • Excellent interpersonal, verbal and written communications skills including strong grammatical skills.

Nice To Haves

  • 5+ years of experience in executive administration, executive assistant, office management, or a related field within a corporate or professional business environment.
  • Excellent administrative and interpersonal skills, with ability and confidence to effectively interface with senior management and high profile clients.
  • Demonstrated ability to anticipate executive needs and proactively identify solutions to administrative and operational challenges.
  • Familiarity and working knowledge of relational databases and knowledge of the GE Internet, Support Central and other relevant applications desirable.
  • Extremely well organized, with attention to detail, yet able to multi-task in an environment of changing priorities.
  • Intellectually sharp, able to grasp concepts and think/learn quickly.
  • Professional approach, good judgment, creative problem-solver.
  • Possessing the personal drive and commitment to implement innovative solutions.
  • Ability to accepting constructive criticism and deal calmly and effectively with high stress situations. This includes continuing to persevere and remaining calm in challenging or frustrating circumstances.

Responsibilities

  • Independently handling all assigned administrative duties and taking direction from and balancing the needs of multiple staff members.
  • Maintaining and coordinating calendars, scheduling appointments and meetings, making travel arrangements, telephone coverage, filing, processing and reconciling T&L expense accounts, handling various purchases and making AP invoice arrangements.
  • Scheduling, planning and organizing all logistical details for in-house and off-site meetings, training and events.
  • Providing general office administrative services.
  • Supporting budget management, liaising with finance to ensure costs are monitored and controlled.
  • Providing tactical support (answering questions on site and on various internal processes and e-tools).
  • Helping to keep organization charts up to date as directed.
  • Maintaining filing and records management systems and other office flow procedures which may be confidential.
