We are looking for an exceptional Executive Administrator to support Innovid’s Chief Operating Officer (COO) and Chief Product Officer (CPO). As a trusted teammate, you will play a critical role in enabling these Executives to focus on strategic priorities by providing seamless administrative support and proactively managing schedules. You will also spearhead Talent Acquisition scheduling and support high-impact HR projects. This highly visible role requires a proactive, adaptable individual with a growth mindset who thrives in a fast-paced environment and takes pride in flawless execution. Our ideal candidate is resourceful, takes ownership, maintains composure under pressure, and brings a high degree of professionalism and discretion to every interaction. You are equally comfortable managing complex logistics, building relationships, and stepping in to support broader company initiatives when needed. This role reports to the VP, Human Resources.

Requirements

  • 2+ years of experience in logistics, project management, or Executive Administration in a dynamic, fast-paced environment.
  • Strong relationship-building skills with a proactive, can-do attitude and natural problem-solving abilities.
  • Exceptional organizational skills and attention to detail with the ability to manage multiple competing priorities.
  • Advanced proficiency in G-Suite, Microsoft Office (particularly PowerPoint and Excel), and comfort with learning new tools.
  • Strong written and verbal communication skills with the ability to interact professionally with all levels, including the board of directors.
  • Ability to exercise discretion, maintain confidentiality, and display sound critical thinking and judgment.
  • Self-motivated with the ability to work independently while also collaborating effectively within a team.

Responsibilities

  • Serve as a support, collaborator, proactive problem-solver, and trusted gatekeeper for the COO and CPO, ensuring their time and priorities are aligned with business objectives.
  • Streamline the interview process by managing interview schedules within Greenhouse, providing dedicated administrative support to the HR team, and driving special projects as needed.
  • Manage complex scheduling, including professional and personal calendars, internal meetings across various Mediaocean business units, external meetings, and domestic and international travel.
  • Anticipate needs and take ownership of planning, executing, and delegating activities to maximize the COO and CPO’s bandwidth, especially when they are at office locations across the globe and particularly in New York City.
  • Act as a liaison between the COO and CPO and internal/external stakeholders, fostering smooth communication and follow-up.
  • Prepare materials, presentations, agendas, and briefing documents for meetings; ensure the COO and CPO are set up for success.
  • Help organize and manage executive offsites, internal events, team lunches, and client-facing engagements.
  • Provide support for company-wide initiatives including DE&I, ESG, Philanthropy, and other cultural efforts.
  • Collaborate with other Executive support and departments to ensure unified support across the leadership team.
  • Maintain a high level of professionalism, confidentiality, and sound judgment at all times.
  • Track and reconcile expense reports, invoices, and signed documents, following internal processes.
  • Perform additional administrative or project-based duties as needed to support the COO, CPO, and HR team.
