About The Position

The Executive Assistant serves as a highly trusted partner to the Executive Pastors, providing executive-level administrative and organizational support. This role is responsible for managing the day-to-day operations of the Executive Pastor’s schedule, communication, and priorities while helping steward time, energy, and focus toward what matters most. This position requires a high level of discretion, emotional intelligence, and proactive thinking. The Executive Assistant anticipates needs, removes obstacles, and helps create a healthy margin by bringing clarity, organization, and follow-through to a wide range of responsibilities. In addition to administrative excellence, this role contributes to the overall effectiveness of the Lead Pastor and Executive Team by ensuring alignment, facilitating communication, and preparing for key meetings, events, and engagements. Absolute confidentiality and sound judgment are essential, particularly when handling sensitive staff and congregational matters. This position reports directly to the Executive Team and plays a key role in supporting Plum Creek Church's mission: Changed Lives, Changing Lives.

Requirements

  • Minimum 3–5 years of executive-level administrative or equivalent experience
  • Exceptional verbal, written, and relational communication skills
  • High emotional intelligence with the ability to navigate sensitive situations with wisdom and discretion
  • Proven ability to manage competing priorities and complex schedules at a high level
  • Strong organizational, time management, and follow-through skills
  • Proactive problem-solver with the ability to anticipate needs and take initiative
  • High level of integrity and ability to maintain strict confidentiality
  • Proficient in computer applications (Mac preferred) and digital communication tools
  • Strong attention to detail with excellence in grammar, formatting, and presentation
  • Ability to work independently with minimal oversight while staying aligned with leadership priorities
  • Flexible and adaptable with the ability to pivot quickly in a fast-paced environment
  • Demonstrated leadership influence and ability to contribute to a healthy team culture

Responsibilities

  • Maintain calendar and schedule of appointments for the Executive Pastor (including submission/tracking of PTO and work-related absences).
  • Assist with communication on behalf of the Executive Pastor (phone, email management, handwritten cards, etc.).
  • Complete monthly credit card reporting.
  • Assist with travel reservations and management (flights, rental car, hotels, etc.).
  • Support the Executive Pastor in organization of ministry details and planning.
  • Meet weekly with the Executive Pastor.
  • Contribute to a positive environment for the staff administrators.
  • Support XTeam and Board communication by maintaining meeting calendars, coordinating retreats, and managing key logistics, including meals for monthly meetings.
  • Assist the Executive Pastor with planning and officiating weddings and funerals.
  • Anticipate and meet the needs of the Executive Pastor to lighten the overall load and help create a healthy margin.
  • Maintain confidentiality regarding staff and Plum Creek people issues.
  • Participate in staff meetings (All Staff: 1st Tuesday each month at 10:30am).
  • Other miscellaneous tasks as asked by the Executive Team and agreed upon regarding any confidential circumstances.
