About The Position

Performs a wide range of executive-level administrative support by prioritizing work, anticipating needs, and coordinating projects that advance organizational objectives. Partners with executives and the Executive Assistant to prepare Executive Team activities to ensure effective communication and seamless operations.

Requirements

  • Strong skills in Microsoft Office software (Excel, Word, PowerPoint, Outlook).
  • Internet savvy with strong research and information compilation skills.
  • Three years of related, progressively more responsible administrative support experience required, preferably within a financial institution.

Nice To Haves

  • Associate degree in Business Administration or related field preferred.
  • Experience in Adobe Acrobat Professional is a plus.
  • Experience supporting executives within a financial institution preferred.

Responsibilities

  • Anticipates the needs of assigned executives to enable focus on strategic priorities and ensure organizational commitments are achieved.
  • Streamlines executive workload by prioritizing tasks, managing schedules, and coordinating follow-up to maintain momentum on key initiatives.
  • Processes expense reporting for executives to ensure accurate and timely requests.
  • Ensures leadership and committee meetings run seamlessly by preparing agendas.
  • Ensures leadership and committee meetings run seamlessly by compiling meeting materials, coordinating logistics, and confirming technology readiness.
  • Captures and distributes meeting minutes, transcripts, and follow up documentation to support informed decision-making by the Board of Directors and Executive Team.
  • Tracks and monitors action items from meetings to drive accountability and ensure timely completion.
  • Improves administrative processes and office systems to increase efficiency and enhance communication across executive teams.
  • Maintains and organizes critical records through the imaging system to ensure secure, accessible, and compliant documentation.
  • Delivers high quality written and presentation materials that reflect the professional image of MSGCU and support executive communications.
  • Provides back-up support to the Executive Assistant and covers other administrative functions as needed to maintain continuity of operations.
