Requirements

  • High school diploma or equivalent required
  • 2-5 years of previous experience in administrative support, office management, executive assistance, or related functions
  • Experience supporting senior leaders or executive teams is highly desirable
  • Fluency in both English and Spanish required
  • Strong proficiency with Microsoft Office applications, including Outlook, Word, Excel, and PowerPoint
  • Excellent organizational and time-management abilities
  • Strong written and verbal communication skills
  • Ability to handle multiple priorities in a fast-paced setting
  • Professional judgment and discretion when handling confidential information

Responsibilities

  • Manage calendars, appointments, and scheduling requests for senior leaders
  • Coordinate internal meetings, leadership discussions, and external appointments
  • Assist with meeting preparation, agendas, materials, and follow-up actions
  • Screen and prioritize communications, including emails, calls, and requests
  • Arrange travel logistics, accommodations, and itineraries when needed
  • Prepare reports, presentations, correspondence, and business documents
  • Process expense reports and maintain supporting records
  • Monitor ongoing projects and help track deadlines, deliverables, and action items
  • Facilitate communication between leadership and cross-functional departments
  • Assist with organizing company events, meetings, and special initiatives
  • Support workflow coordination across multiple business units
  • Maintain confidential records and sensitive company information
  • Serve as a professional point of contact for employees, candidates, vendors, and business partners
  • Help direct inquiries to appropriate departments and resources
