Requirements

  • Bachelor’s degree (BS/BA) required.
  • Five (5) or more years of experience supporting senior executives at or equivalent to the GS-14 or GS-15 level.
  • Strong understanding of organizational structures and executive operations in a federal environment.
  • Proficiency in Microsoft Word, Excel, PowerPoint, SharePoint, Visio, and Access.
  • Experience managing executive calendars, correspondence, travel, and high-level communications.
  • Typing speed of at least 40 words per minute with strong attention to detail.
  • Excellent written, verbal, and interpersonal communication skills.
  • Ability to manage multiple high-priority administrative projects at the same time.
  • Experience compiling, organizing, and presenting complex information clearly and professionally.
  • Willingness to complete required annual training, including ethics training, and attend conferences as needed.
  • US Citizenship.

Responsibilities

  • Provide direct executive-level administrative support to the Regional Director.
  • Manage the Regional Director’s calendar, conference room schedules, and executive phone lines.
  • Draft, review, edit, and prepare executive correspondence, reports, spreadsheets, charts, and presentations.
  • Coordinate meetings and conference calls, prepare agendas, take and distribute minutes, and track follow-up actions.
  • Serve as a central point of contact for regional and national communications across FPS, DHS, and external stakeholders.
  • Arrange travel, off-site meetings, and logistical support for leadership.
  • Monitor and manage HQ-assigned ESTT suspense items to ensure deadlines are met.
  • Conduct research and compile analytical products in support of leadership decision-making.
  • Assist with FOIA responses in coordination with the Regional FOIA representative.
  • Support personnel actions related to hiring, reassignments, and administrative processing.
  • Serve as timekeeper for assigned offices and as backup timekeeper across Region 4, with appropriate approvals.
  • Coordinate training activities, including maintaining the regional training calendar and supporting training requests.
  • Act as liaison with IT and helpdesk services during staff absences to ensure continuity of operations.
  • Support regional emergency taskings and special projects as directed.
  • Maintain organized filing systems and ensure proper handling of sensitive and time-critical information.
