The successful candidate will play a key role in ensuring smooth office operations, managing schedules, coordinating communications, and assisting with special projects. This role requires exceptional multitasking skills, discretion, and the ability to prioritize in a fast-paced environment.

Requirements

  • Proven experience as an Executive Administrative Assistant, Personal Assistant, or similar role supporting C-level executives.
  • Excellent organizational, time management, and multitasking skills.
  • Strong written and verbal communication abilities.
  • Proficiency in MS Office Suite (Word, Excel, PowerPoint, Outlook).
  • Ability to handle sensitive information with discretion.
  • Problem-solving skills and proactive mindset.

Responsibilities

  • Manage and maintain calendars for the CEO and CFO, including scheduling meetings, appointments, and travel arrangements.
  • Prepare, review, and distribute confidential correspondence and reports.
  • Coordinate and facilitate communication between the executive team and internal/external stakeholders.
  • Organize and prepare materials for meetings, including agendas, presentations, and reports.
  • Assist with the planning and execution of company events and executive engagements.
  • Support with administrative tasks such as expense reporting, invoice processing, and document management.
  • Conduct research and compile data for various projects and presentations.
  • Serve as a point of contact for various departments and external partners.
  • Maintain confidentiality and always exercise discretion.
