About The Position

The Entwistle Company is seeking a highly organized and professional Executive Administrative Assistant to support the President and Chief Financial Officer in a fast-paced, regulated defense manufacturing environment. This role is critical to the effectiveness of the executive team and overall operation of the business. The successful candidate will manage complex schedules, coordinate high-level communications, and ensure seamless administrative execution, allowing executive leadership to remain focused on strategic, financial, and operational priorities. Requirements

  • 5+ years of experience providing administrative support to senior executives
  • Strong proficiency in Microsoft Office (Outlook, Work, Excel, PowerPoint)
  • Highly organized with strong attention to detail
  • Excellent communication and time management skills
  • Professional demeanor with the ability to handle sensitive information

Nice To Haves

  • Associate’s or Bachelor's degree in Business Administration or related field preferred
  • Experience supporting multiple executives simultaneously strongly preferred
  • Prior exposure to manufacturing, defense, or regulated environments is a plus

Responsibilities

  • Manage complex calendars for the President and CFO, including meetings, travel, and internal reviews
  • Coordinate logistics for meetings, customer visits, audits, and leadership sessions
  • Prepare, format, organize, and distribute executive correspondence, reports, and presentations
  • Track action items, deadlines, and follow ups on behalf of executive leadership
  • Serve as the primary administrative point of contact for executive communications
  • Maintain organized and secure document control for confidential and sensitive materials
  • Prepare, format, organize, and distribute executive documents, presentations, and reports as directed
  • Manage document routing, version control, and distribution
  • Support executive-level meetings by ensuring materials and logistics are fully prepared
  • Arrange executive travel, lodging, itineraries, and related logistics
  • Coordinate schedules with internal teams, customers, and external partners
  • Anticipate conflicts and proactively adjust schedules as needed
  • Exercise sound judgment in prioritizing requests and managing competing demands
  • Handle confidential information with discretion and professionalism
  • Serve as a trusted administrative partner to executive leadership
