About The Position

The Executive Administrative Assistant, Global RE, FM & Corporate Operation provides senior-level administrative and operational support to the Vice President, Global RE, FM & Corporate Operation s and serves as a trusted partner in enabling effective leadership, enterprise engagement, and execution across a complex, highly matrixed organization. This role requires exceptional judgment, discretion, and organizational agility. The Executive Administrative Assistant operates with a high degree of independence, proactively managing priorities, coordinating across senior leaders, and ensuring the VP’s time, decisions, and engagements are aligned to the highest-value work. The role is integral to the smooth functioning of the Global Real Estate, Facility Management & Corporate Operations leadership agenda and interfaces regularly with executive offices across Global Supply Chain and Operations organization and other DePuy Syntheshes Executive Leadership Team members. This role also provides support to the LT of the Global RE, FM & Corporate Operations team.

Requirements

  • Demonstrated experience supporting senior executives (VP or equivalent level) in a complex, fast ‑ paced , matrixed organization.
  • Proven ability to manage ambiguity, exercise sound judgment, and handle highly sensitive information with discretion.
  • Strong organizational, prioritization, and problem ‑ solving skills with a proactive, solution ‑ oriented mindset.
  • Excellent communication and interpersonal skills; ability to interact confidently with senior leaders and diverse stakeholders.
  • High proficiency in Microsoft 365 tools (Outlook, Teams, PowerPoint, Word, Excel).

Responsibilities

  • Provide comprehensive, proactive administrative support to the Vice President, Results & Impact, including complex calendar management, meeting prioritization, and scheduling across global time zones.
  • Serve as a strategic gatekeeper for the VP’s time, using judgment to appropriately sequence, prioritize, and resolve competing demands.
  • Prepare the VP for internal and external engagements by coordinating pre-reads, briefing materials, agendas, and follow-ups.
  • Anticipate needs and resolve issues independently to support effective executive decision-making.
  • Coordinate leadership meetings, working sessions, and cross-functional forums, including agenda development, material consolidation, note-taking (as needed), and action-item tracking.
  • Manage end ‑ to ‑ end logistics for high ‑ stakes meetings (in person and virtual), including participant coordination, room reservations, technology support, and follow ‑ ups .
  • Ensure timely flow of information between the VP, direct reports, peers, and stakeholders.
  • Act as a key liaison between the Global RE, FM & Corporate Operations team and broader Supply Chain & Operations leadership, Enterprise partners (e.g., Finance, HR, IT), and other business stakeholders.
  • Maintain strong working relationships with other senior administrative professionals across DePuy Synthes to enable seamless coordination.
  • Handle sensitive and confidential information with discretion and sound judgment.
  • Manage expenses, purchase order coordination, travel arrangements, and administrative processes in compliance with enterprise policies.
  • Support onboarding and transitions for new team members, vendors, or partners connected to the Results & Impact organization.
  • Maintain organized records, files, and documentation to support continuity and efficiency.
  • Identify opportunities to streamline administrative processes, improve workflows, and enhance executive support practices.
  • Contribute to a culture of operational excellence, professionalism, and collaboration.
  • Provide administrative and operational support for projects with the other members of the Global RE, FM & Corporate Operations team.
