About The Position

We're looking for a highly organized and trusted administrative professional to support our Area Vice President and regional leadership and help keep our Burbank office running smoothly. This highly visible role partners with leaders across Finance, Legal, HR, and Operations to coordinate meetings, manage office operations, support special projects, and ensure critical tasks are completed accurately and on time. Candidates with administrative, office management, legal assistant, paralegal, or notary experience are encouraged to apply. Discretion, attention to detail, and proactive follow-through are essential. Intermediate level position under general supervision, provides a wide variety of administrative and staff support services to an organizational unit.

Requirements

  • 3+ years of administrative, office management, or legal/paralegal support experience
  • Strong Microsoft Office skills (Word, Excel, and PowerPoint)
  • Experience managing calendars, meetings, travel, and expenses
  • Ability to handle confidential information with discretion and professionalism
  • High School Diploma or GED (accredited)
  • 3 years of relevant work experience.

Nice To Haves

  • Notary Public certification, or willingness to obtain certification

Responsibilities

  • Formats, types and edits a variety of routine material, including correspondence, memos, reports, and confidential material.
  • Receives and screens telephone calls and visitors; schedules appointments and meetings; resolves routine problems and refers other matters to appropriate staff members.
  • Prepares and updates recurring and routine internal reports, collects and verifies data, refers problems to manager for resolution.
  • Maintains and updates department files, records, and publications; maintains confidential files and materials.
  • Schedules meetings and appointments; notifies attendees and makes necessary arrangements.
  • Arranges domestic and international travel.
  • Assists in the preparation and control of records, statistics, and reports regarding operations, personnel changes, etc.
  • Administers programs, projects, and/or processes specific to the operating unit served.
  • May serve as administrative liaison with others within and outside the company regarding administrative issues related to purchasing, personnel, facilities and operations.
