About The Position

Hypertec is seeking an Executive Administrative Assistant to join our team in Montreal, Québec. We are seeking a highly organized and resourceful Executive Assistant to support the divisional President and leadership team of our Construction division. Reporting to the Chief of Staff, this role is critical to ensuring the efficiency, coordination, and professionalism of business operations. This position requires a high degree of judgment, discretion, and initiative. The Executive Assistant will serve as a key partner to senior leadership, providing proactive support that enables focus on high-impact priorities. The ideal candidate brings a polished, solutions-oriented approach and is comfortable navigating complex schedules, confidential matters, and shifting priorities with poise and professionalism.

Requirements

  • Post-secondary education or equivalent professional experience;
  • Minimum 5 years of experience supporting executives or senior leaders in a dynamic corporate environment;
  • Advanced proficiency in Microsoft Office Suite (Outlook, Excel, PowerPoint, Word), with familiarity in SharePoint and other Microsoft 365 collaboration tools;
  • Excellent written, verbal, and interpersonal communication skills;
  • Demonstrated ability to support multiple leaders concurrently while managing competing priorities;
  • Strong organizational skills, with a high level of accuracy and attention to detail;
  • Discretion and sound judgment in handling sensitive and confidential information;

Responsibilities

  • Proactively manage calendars, schedule meetings, and ensure alignment of key priorities across leaders’ schedules;
  • Arrange domestic and international travel and manage related expense reports accurately and on time;
  • Prepare, edit, and format documents, presentations, and spreadsheets using Microsoft Office tools;
  • Assist in coordinating internal communications and recurring reporting cadences
  • Organize and maintain digital filing systems, including SharePoint sites and internal repositories;
  • Track action items and ensure timely follow-up on key deliverables;
  • Attend select meetings to capture notes, decisions, and follow-up actions as required;
  • Interact with internal and external stakeholders on behalf of the supported leaders, maintaining a high level of professionalism at all times;
  • Provide support on special projects or ad hoc initiatives as assigned by the divisional leaders or Chief of Staff.
