About The Position

As an Executive Administrative Assistant, you’ll provide high-level administrative and operational support primarily to the Chief Legal Officer (CLO) and the Legal team, with additional support to other Bank executives as needed. You’ll serve as a trusted partner who anticipates needs, exercises sound judgment, and manages confidential and sensitive matters with discretion. In a dynamic, fast-paced environment, you’ll coordinate complex schedules, communications, meetings, travel, and deliverables to help advance Legal and enterprise priorities. You’ll build effective relationships with internal and external stakeholders and contribute to the efficient operation of the CLO’s office and the Legal team.

Requirements

  • 6+ years of related experience in Administrative Support or similar field.
  • Bachelor's degree or equivalent experience required.
  • Advanced knowledge of Microsoft Office including, Word, Excel, PowerPoint, and Outlook.
  • Advanced organizational skills and attention to detail.
  • Demonstrated ability to maintain a high level of confidentiality and discretion.
  • Advanced speaking and writing communication skills.

Nice To Haves

  • Experience with Zoom, Teams, and Oracle preferred.
  • Occasional travel required.

Responsibilities

  • Provide high-level administrative and operational support to the Chief Legal Officer and Legal team, anticipating needs, exercising sound judgment, and ensuring timely follow-through on executive, departmental, and enterprise priorities.
  • Manage the Chief Legal Officer’s complex calendar, meeting cadence, travel, communications, and daily workflow; resolve scheduling conflicts and align time and attention with priority matters.
  • Coordinate executive, board, committee, and Legal team meetings, including agendas, presentations, briefing materials, logistics, minutes or action items, and follow-up, as appropriate.
  • Prepare, edit, and proofread correspondence, presentations, reports, and other executive-level materials; monitor key deadlines, decisions, and deliverables to support effective execution.
  • Serve as a professional liaison for the office of the Chief Legal Officer with executives, business leaders, board and committee stakeholders, outside counsel, regulators, vendors, and other internal and external partners.
  • Manage highly confidential, sensitive, and privileged information with discretion and professionalism and in accordance with applicable Legal team protocols and Bank practices.
  • Support Legal department administration, including expense reports, invoices, records, distribution lists, departmental communications, events, and other operational activities. This also includes, processing department mail, department intranet and extranet site maintenance, and managing competing priorities.
  • Identify opportunities to improve administrative processes, workflow, information management, and use of technology to enhance executive and Legal team effectiveness.
