About The Position

Our customers make decisions at the events where they meet us including trade shows, partner summits, and factory visits. As an Events Coordinator, you manage the details that make events work, think vendors, logistics, booth setup, and demo hardware; and get leads into sales' hands while the conversation is fresh. As part of the team, you ensure every event runs smoothly on budget and sales get clean handoffs so customers remember how we showed up.

Requirements

  • 2+ years in event coordination, field marketing, trade show support, or a comparable logistics-heavy role.
  • Demonstrated experience running event logistics end to end — vendors, freight, registrations, budgets, and timelines.
  • Exceptional organization and attention to detail, with a track record of tracking dozens of moving parts across multiple events at once.
  • Strong written and verbal communication with vendors, internal teams, and executives.
  • Proficiency with spreadsheets and project tracking tools.
  • Willingness to travel and work non-standard hours on-site, including early setups and late teardowns.
  • Comfortable with the physical demands of event work — long days on your feet, lifting and moving booth materials and equipment.

Nice To Haves

  • Familiarity with HubSpot, lead capture tools, and event registration platforms.
  • Experience supporting events that involve physical products, demo equipment, or technical installations.
  • Experience with events for utilities, commercial & industrial customers, or government and policy stakeholders.
  • Strong attention to detail; understands how booth design, signage, and environmental branding come together on the floor.
  • Comfort coordinating freight, equipment transport, and on-site logistics.
  • Interest in growing into broader field marketing ownership as the events program scales.

Responsibilities

  • Coordinate end-to-end logistics for trade shows and conferences: booth space, exhibitor deadlines, registrations, freight and shipping, hotel blocks, staffing schedules, and on-site setup and teardown.
  • Maintain the events calendar and keep timelines, deadlines, and deliverables on track across every program.
  • Manage vendor and venue relationships — booth builders, AV, catering, printers, freight carriers — including quotes, contract routing, and invoice tracking.
  • Own booth and demo asset inventory: signage, displays, collateral, swag, and demo hardware. Track what ships where, what comes back, and what needs replacing.
  • Support Torus-hosted events including factory tours, partner summits, expert roundtables, government and investor visits, sales events, and customer events — scheduling, run-of-show, hospitality, and site prep.
  • Plan and run internal and employee events: demo day, team gatherings, and holiday events.
  • Set up lead capture at every event and get leads into HubSpot cleanly and quickly so sales can follow up while the conversation is still warm.
  • Track event budgets line by line — POs, invoices, reconciliation — and flag overruns early.
  • Build event briefs and coordinate event staffing: who's attending, what they're responsible for, and what they need before they land.
  • Build post-event reporting on attendance, leads, spend, and cost per lead, with clear notes on what to change next time.
  • Travel to events and work on-site through setup, show days, and teardown.
