As a University Event Coordinator, you will play a key role in supporting large-scale university events that foster collaboration, innovation, and connection across the country. Working alongside a dynamic and supportive team, you will help coordinate logistics, communications, registration, and on-site operations that contribute to memorable experiences for thousands of attendees.

Requirements

  • Strong organizational skills and exceptional attention to detail.
  • Ability to manage multiple priorities and deadlines in a fast-paced environment.
  • Excellent written and verbal communication skills, with a professional and customer-focused approach.
  • Proficiency with Microsoft Office applications and cloud-based collaboration tools such as SharePoint.
  • Experience using event registration software.
  • Ability to work independently while collaborating effectively within a team environment.
  • Strong problem-solving skills and a proactive, can-do attitude.
  • High school diploma required.
  • 2+ years of office experience.
  • 1+ year of event-related experience.

Nice To Haves

  • Bachelor's Degree preferred.
  • Previous customer service experience, particularly in event-related or office environments.
  • Experience supporting large-scale events or multi-event programs.
  • Familiarity with vendor coordination and event budgeting processes.
  • Equivalent relevant experience performing the essential functions of this job may substitute for education degree requirements. Generally, equivalent relevant experience is defined as 1 year of experience for 1 year of education and is at the discretion of the hiring manager.

Responsibilities

  • Manage a shared team inbox, ensuring timely and professional responses to event-related calls, emails, and inquiries.
  • Coordinate event registration and RSVP processes, maintain reporting, and support event communications.
  • Assist event planners with vendor coordination, event logistics, and operational planning.
  • Track event-related expenses, submit invoices, request purchase orders, and follow up on payments as needed.
  • Take ownership of specialized event functions and processes that support multiple events throughout the year.
  • Provide on-site event support, including logistical coordination and attendee assistance during events.
  • Partner with team members on event registration, catering, travel arrangements, faculty support, and other event-related activities.
