About The Position

The Town is seeking a part-time dynamic and dedicated event planner with exceptional communication skills to coordinate and implement Town events, and work with valued community stakeholders to assist them through the special event permit process. This benefited position is 20 hours per week, with requirements to work some evenings, weekends, and holidays during specific events. Primary schedule is Monday through Friday, with the weekly work schedule being determined upon the successful candidates hiring. This position is represented by the Town Employees Association (TEA). Ideal Candidate Implementing large scale community events and supporting community event organizers takes a thoughtful investment of time, talent, dedication, discretion, and attention to detail. The ideal candidate must be organized, flexible, diplomatic, and professional, while creating and fostering event environments that are safe, fun, and engaging. Key skills for successful execution of the role include: Detail-Oriented Multi-Tasker. The role requires the candidate to balance the synchronous tasks related to event coordination and event permit process management. From the tiny details to the large-scale objectives, the ideal candidate must consistently prioritize event components, stakeholder communication, competing deadlines, and budget parameters to ensure successful event implementation and process management while providing excellent customer service. Exceptional Communicator. The candidate must be able to provide concise and clear communication, ensuring external customers and internal stakeholders are consistently informed and supported. Approachable and Collaborative People-Person. Connecting with stakeholders and creating and maintaining positive relationships is at the core of the success of this position. The candidate will have extensive interaction with external and internal stakeholders including community leaders, Town staff, customers, and the public. It is imperative that they are professional, flexible, and collaborative. Focused Creativity. The candidate is responsible for developing ideas, concepts, designs, and themes that create welcoming, inclusive, fun, and engaging Town events, and related marketing and branding. Considering creative and innovative ideas that bring freshness to Town events, while considering community traditions and maintaining the necessary health and safety, and policy provisions.

Requirements

  • Any combination of training and experience equivalent to a Bachelor’s Degree from an accredited college or university in business, public administration, hospitality management or a related field.
  • Two (2) years of coordinating a variety of small to large scale events.
  • Experience developing marketing materials and posting through a variety of social and other media outlets.
  • California Class C Driver’s License
  • First Aid Certification
  • Cardio Pulmonary Resuscitation (CPR) Certification

Responsibilities

  • Planning and implementing Town events, including Spring into Green, Los Gatos Celebrates the 4th of July, and Los Gatos in Lights, with extensive support of Music in the Park and the Los Gatos Children’s Holiday Parade.
  • Serving as the primary point of contact for external community event organizers, managing the special event permit process from end to end with full cross-departmental and community stakeholder coordination.
  • Developing marketing materials for Town events.
  • Maintaining the event budget.
  • Partnering with vendors and processing agreements.
  • Working cross-departmentally on logistics and safety measures.
  • Providing day-of event coordination and implementation.
  • Organizing community and volunteer groups.
  • Other event-related tasks.
