About The Position

The Emily Hotel Chicago is seeking a highly motivated, outgoing individual with a passion for hospitality. This role involves detailing events in various hotel spaces including Fora Restaurant & patio, private dining room, Selva rooftop bar & patio, and over 9,000 square feet of unique meeting and event space. The position works directly with the Event Manager and Director of Food and Beverage, reporting to the Director of Sales.

Requirements

  • Proficient computer skills including Microsoft Word, Power Point, Excel, and Outlook.
  • Must be able to work a flexible schedule, including early mornings, late nights, and weekends as needed.
  • Must be available when client accounts are in-house.
  • Command of the English language both written and verbal, with the ability to demonstrate warmth and empathy when engaging with others.
  • Must be able to stand in one place for extended periods of time, and to remain on feet for up to 8 hours.
  • Ability to lift 40lbs.
  • Minimum two years in a sales capacity in a comparable hotel/resort.
  • Technologically sound with Microsoft Office applications.
  • Previous sales experience preferred.
  • Previous restaurant sales experience in a high-end and/or luxury hotel or resort preferred.
  • Opera experience preferred.

Nice To Haves

  • Tripleseat experience.
  • A four-year college degree is preferred.
  • Additional experience in events, rooms, and/or reservations preferred.

Responsibilities

  • Manage leads, create and detail events, create documents, manage deposit updates, and maintain client contacts and accounts using Tripleseat.
  • Field Tripleseat inquiries and voicemail requests, checking availability and qualifying leads before passing them to the Event Manager.
  • Maintain and update the event calendar, organizing prospects, tentative proposals, and definite bookings.
  • Develop and create specialty items for each event, including printing menus and place-cards, and handling other details to make events unique.
  • Communicate function arrangements to all responsible hotel departments.
  • Work with accounting to collect client deposits, final payments, and adjustments, and send receipts.
  • Create posting masters in Opera Cloud, maintaining resume notes and client details.
  • Assist with special events, site inspections, and off-site catering as needed.
  • Oversee and manage events on-site as assigned by the Event Sales Manager.
  • Ensure timely follow-up with clients, including thank you notes and outreach for repeat business.
  • Arrange and coordinate any third-party vendors needed for events.
  • Coordinate and execute offsite events for GRNBA, WCA, Choose Chicago, Taste of Hope, and other partner organizations within the Chicagoland Area.
  • Prepare and present Weekly BEO’s and Resume’s for all Emily Hotel departments, updating shared drives and printing copies as needed.
  • Be available when client accounts are in-house.
  • Serve as a liaison to Catering Sales for other hotel departments.
