About The Position

This position is responsible for planning, coordinating, and overseeing the Event Management team's venue setup, strike, and summer housing functions. This includes managing staff, budgets, and relationships with campus departments and external vendors to ensure successful event and housing operations.

Requirements

  • Physical ability to consistently perform tasks requiring the pushing, pulling, and lifting of moderate to heavy objects.
  • Availability to work odd hours and weekends for occasional major events/tight venue turnarounds.
  • Experience in event planning and operations.
  • Experience in managing staff, including seasonal or student employees.
  • Budget management experience.
  • Strong organizational and scheduling skills.
  • Excellent communication and interpersonal skills.
  • Ability to work collaboratively with various campus departments and external vendors.

Nice To Haves

  • Experience with EMS (Event Management System).
  • Experience with Google Calendar for scheduling.
  • Experience with Alsco linen orders.

Responsibilities

  • Plan, coordinate, and oversee venue setup and strike operations.
  • Create and maintain detailed venue setup and strike schedules.
  • Oversee staffing plans and labor allocation for events.
  • Coordinate with event planners and campus departments to gather and confirm event requirements.
  • Ensure venues are set to client specifications and strike procedures are completed on time.
  • Manage event equipment and furniture inventory.
  • Oversee equipment rental contracts.
  • Place and manage weekly Alsco linen orders.
  • Provide hands-on support for significant venue setups and strikes.
  • Oversee all aspects of event-related summer housing.
  • Communicate with clients to confirm housing details.
  • Respond to issues involving summer residents.
  • Create and maintain emergency preparedness documentation.
  • Maintain accurate and confidential guest records and housing documentation.
  • Coordinate linen rentals with external vendors.
  • Work closely with campus partners to support summer housing operations.
  • Supervise full-time Event Operations Coordinators.
  • Recruit, hire, train, supervise, schedule, and evaluate seasonal student employees.
  • Manage departmental budgets for venue setup, strike, and summer housing.
  • Review and approve invoices, purchase requests, and expenditures.
  • Serve as an on-call resource for operational emergencies and after-hours concerns.
  • Build and maintain collaborative relationships with campus departments, external vendors, and stakeholders.
