About The Position

The Event Manager is an event-centric position that shall coordinate, communicate, and manage multiple tasks and events. This role involves supervising patron services and contracted services while providing great attention to detail and maintaining high standards of customer service for all facility users.

Requirements

  • A demonstrated ability to follow directions and complete assigned tasks with a minimum of instruction and supervision is essential.

  • Knowledge of procedures and requirements of the entertainment business to ensure good relationships with promoters and performers.
  • Ability to exercise sound judgment and make proper decisions in handling incidents at all types of events.
  • Ability to communicate in a clear and concise manner, both orally and in writing.
  • Ability to properly train all event employees in handling crowds and the general public for the events scheduled at the facility.
  • Proven ability to deal in a professional and cordial manner with the public attending events.
  • Ability to plan, service and supervise a variety of events with the assistance and cooperation of other staff members.
  • Ability to anticipate equipment and other needs for individual events.
  • Professional, high-energy, dependable, and adaptable with the flexibility to work nights, weekends, and holidays as required.

  • Work is classified as light with the requirements of exerting up to 20 lbs. of force occasionally, and/or up to 10 lbs. of force frequently and/or a negligible amount of force constantly to move objects. If the use of arm and/or leg controls requires exertion of forces greater than that for sedentary work and the worker sits most of the time, the job is rated for light work.

Nice To Haves

  • Four-year degree in management, hospitality or business-related field is preferred.
  • Minimum of three (3) years’ experience in hospitality/event management or related field with Proven ability to coordinate logistics including event timelines, staffing, equipment, catering, and technical requirements.
  • Experienced in preparing, managing, and reviewing event estimates, billing, invoices, and post-event financial documentation.
  • Other combinations of experience and education that meet these requirements may be substituted.
  • Knowledge of event production and operations including coordinating events with promoters, pre-event planning, organizing physical facilities and staffing.
  • Experience and proficiency in all the above essential duties and responsibilities.
  • Proficiency with Microsoft Office Suite and administrative/organizational systems.
  • Applicant must possess current, valid driver’s license.

Responsibilities

  • Serves as primary point of contact for client upon contract execution through the end of event.
  • Provides event management leadership across all departments, maintaining strong organizational and communication systems.
  • Ensures event management systems are customer centric and efficiently executed both with client and the internal team.
  • Assembles accurate event invoices and event information between facility and client.
  • Provides accurate post-event information to assist with event close-out processes.
  • Reviews and implements policies and procedures for Event Services and makes recommendations to Director of Sales and Events for modifications as may become appropriate.
  • Serves as Manager on Duty for events as scheduled, which include nights, weekends, and holidays.
  • Directly manages FOH staff, including hiring, training, coaching, and scheduling of all event services staff.
  • Reviews and approves payroll of applicable staff at the end of each pay period, prior to final submission.
  • Ensures all departments are provided with event information in a timely fashion and during events makes certain all departments and staff are functioning as needed for event success.
  • Gathers appropriate information from the client including event type, budgeting, space needs, equipment, technical requirements, event timeline, insurance certificates, catering menus and staffing requirements, confirming event setups and provided services are accurate, meeting client’s expectations for all events.
  • Assures all event set-ups are in accordance with safety, fire and health code procedures.
  • Collaborates with the development and coordination of food and beverage functions with the food and beverage department as it pertains to clients’ needs and expectations.
  • Monitors event schedules for upcoming events to ensure equipment inventory availability.
  • Assembles usable post-event information to share with staff and clients as warranted.
  • Coordinates the use of contract security, sworn security and contract first aid services as needed.
  • Must work well and have high standards of communication with all team members.
  • Oversees facility compliance with ADA requirements, making appropriate recommendations for services and accommodations.
  • Performs other tasks as assigned.
  • Directly supervises event services staff and volunteers.
  • Carries out supervisory responsibilities in accordance with the organization's policies and applicable laws.
  • Responsibilities include training employees and volunteers; planning, assigning, and directing work; appraising performance; rewarding and disciplining employees; addressing complaints and resolving problems.
