About The Position

Sandy Cove Ministries is seeking a full-time Event Coordinator to join their team. This role involves coordinating a range of services for group events, including meeting room setups, food service, adventure activities, and audio-visual equipment. The coordinator will manage meeting room bookings, equipment usage, rooming lists, and meal counts through the reservations system, and provide administrative support to the Sales and Reservation team. The general purpose of this role is to serve as the liaison between group guests and Sandy Cove's departments to provide superior guest service, helping people connect with God and each other.

  • 3+ years of event coordinating experience preferred
  • Ability to communicate effectively & efficiently, both written and verbal
  • Basic knowledge of hotel and conference centers and their daily operations
  • Extremely detail-oriented
  • Must be creative and possess a strong ability to problem-solve
  • Possess effective organization skills
  • Strong leadership qualities
  • Ability to use computer and necessary programs for coordination of guest information
  • Ability to work with a diverse range of individuals and groups
  • Must be able to work independently and maintain a positive attitude within a very busy environment
  • Ability to prioritize and manage multiple assignments under tight deadlines

Responsibilities

  • Work closely with Sales Representatives in support of event leaders, acting as the primary contact via e-mail, phone, and on-site visits to determine group needs and assist with event details for groups ranging from 10 to 450 people.
  • Manage in-house guests by acting as host and manager during group events to ensure an excellent experience, addressing concerns or complaints, and monitoring daily operations affecting guests.
  • Communicate internally with Sandy Cove department heads through weekly meetings and by inputting tasks into the property management system, “Maestro,” to inform departments of their responsibilities and ensure excellent guest service.
  • Monitor group financials by encouraging groups to meet or exceed contracted numbers through advice, tools, extra services, and prayer.
  • Assist Sales with administrative support, including creating labels, filing, and assembling Sales packets.
  • Be available to assist with Reservation calls as needed.
  • Perform any other reasonable requested tasks assigned.
