Requirements

  • Minimum of 5 years or more experience in the event industry specifically with planning and coordinating events.
  • Degree in event planning, recreation, hospitality, marketing, communication, or related field.
  • Experience with managing team members/direct reports.
  • Working knowledge or experience with children and children programs.
  • Ability to demonstrate leadership skills and good professional judgment when dealing with difficult situations.
  • Ability to demonstrate leading by example and role modeling good professional behavior.
  • Experience with and understanding of budgets, proposals, contracts, and negotiation skills.
  • Effective communication and interaction with military partners, vendors, residents/event attendees, and management.
  • Ability to exchange or convey information to receive work direction.
  • Proficiency and working knowledge of personal computers: keyboard, internet search, email correspondence, math, Microsoft Office (Word and Excel), Publisher, InDesign, Photoshop, social media sites, and other software applications.
  • Ability to operate a motor vehicle (valid license and insurance required).
  • Must be able to demonstrate quality writing and good public speaking.
  • Must have effective time and task management skills.
  • Must be able to work a flexible schedule including nights, weekends, and some holidays, able to balance personal and professional hours and expectations and manage time within a workday.
  • Ability to travel to other regional locations for work, training, meetings, and other work-related activities.
  • Ability to travel overnight for events or training and manage time effectively with the added responsibilities of the position.
  • Position requires heavy lifting up to 50 lbs., utilizing step stools to access event items, moving of boxes and event materials, and loading/unloading of vehicles for events.
  • Position requires ability for walking and standing for long period of times when on location for an event.

Nice To Haves

  • A certificate in event planning is preferred (currently working on or complete).
  • Working knowledge or experience with the military community is preferred.
  • Technology savvy and a quick learner is a plus.
  • Familiarity with use of a digital camera is preferred.

Responsibilities

  • Manage Event Coordinators within the Community Services Department.
  • Ensure Event Coordinators effectively produce high-quality, well-planned events.
  • Oversee all aspects of the event planning process, ensuring fiscal and risk responsibility.
  • Ensure Event Coordinators develop and coordinate all aspects of the event planning process (research, design, planning, coordination, evaluation) with quality and detail.
  • Support Event Coordinators to ensure they are on target and prepared for meetings with the Community Services Director.
  • Develop timelines, production schedules, and time blocking processes.
  • Coach and train on the event experience for attendees based on demographic review, needs assessment, and trends.
  • Assist Coordinators by ensuring agendas and minutes are completed, tasks are assigned and followed through, and planning is on target.
  • Support the Community Services Director in coaching and mentoring Event Coordinators on monthly goals.
  • Assist with coaching performance and the annual review process.
  • Support in recruiting efforts by reviewing resumes, conducting phone interviews, and setting up interviews.
  • Support with onboarding new team members, ensuring training is on target for the first 3 and 6 months.
  • Attend events with new Event Coordinators to support and train onsite.
  • Oversee events during a gap in staffing.
  • Oversee the Event Coordinators’ monthly schedules and Day of Coordinator Schedules.
  • Perform various administrative and computer tasks, including email communications and data input into various software and information systems.
