About The Position

Reporting to the Manager, Admissions and Assessment, the Evaluations Specialist is an expert member of the undergraduate admissions team and is responsible for admission decisions made on applicant files. This position is expected to know all aspects of the interpretation, implementation and evaluation of different curricula, as well as admission policies and procedures, and ensures the timely evaluation of complex undergraduate admission applications, with preference given to files in Advanced Standing.

Requirements

  • Undergraduate university degree
  • Experience in a University or College Admissions or Recruitment office with direct experience assessing national and international curricula for the purpose of admissions
  • Knowledge of the university application process and Brock program and degree offerings
  • Strong technology proficiency, including experience with student information systems, Microsoft 365 applications, high-volume inbox management, complex online research, document management, reporting tools, and data analysis
  • Excellent interpersonal, customer service, relation-building, and communication skills to interact effective with applicants, staff, faculty and external contacts
  • Advanced communication skills (verbal, written and interpersonal) and professional public speaking/presentation ability
  • Strong counselling, influencing and consultative skills, including the ability to listen, ask questions, summarize and translate information to make effective decisions and resolve problems
  • Ability to work independently and proven ability to work in a team environment within and across the University
  • Experience handling highly sensitive and confidential material, ensuring adherence to information and privacy legislation
  • Demonstrated experience in a high-volume administrative environment, coordinating multiple tasks and adapting to often-changing and unexpected priorities
  • Strong analytical and critical thinking skills
  • Strong administrative, organizational and time management skills

Responsibilities

  • Assess and adjudicate files for admissibility for all undergraduate programs
  • Counsel current and prospective students and their parents/agents with respect to admission requirements and other related issues
  • Use verification systems and protocols to ensure accuracy and validity of grades and transcripts
  • Evaluate academic credentials to determine authenticity and report cases of concern or fraud to the Manager
  • Adjudicate and assign transfer credits, liaise with Faculty contacts regarding transfer credit equivalencies, and maintain the transfer credit database
  • Convey admission decisions to applicants and respond to applicants’ questions and unique circumstances
  • Consult and advise on policy and pre-requisites for Undergraduate programs
  • Research and stay current on provincial, national and international curricula
  • Independently assess and determine appropriate alternative admission pathways for applicants who do not meet standard admission requirements, referring unusual or difficult cases to the Senior Evaluation Specialist and/or Manager
  • Research global industry trends and information regarding admission policy and process
  • Ensure all case management and admissions file administration is accurate, complete, and up to date
  • Deal with individuals who are angry and upset as a result of unfavourable admission decisions; must be empathetic while at the same time upholding the decision
