SUMMARY The Estimating/Bid Coordinator is responsible for collecting, filing, maintaining, and distributing all project documents. This position will aid all levels of staff on a project team.

Requirements

  • Associate degree in Business Management or related discipline is preferred.
  • Minimum 1‐year previous document control experience, preferably in a construction environment
  • Can be a combination of education, training and relevant experience
  • Computer, filing, and 10‐key skills required
  • Attention to detail is a must; strong analytical skills favored
  • High level of discretion and interpersonal skills to handle sensitive and confidential matters and documentation
  • Proficient in using a computer and Microsoft Office (Outlook, Word, Excel, etc.); Oracle preferred
  • Proficient in using a database platform
  • Ability to prioritize and manage multiple tasks, changing priorities as necessary
  • Ability to work under time pressure and adapt to changing requirements with a positive attitude
  • Effective oral and written communication skills as required for the position
  • Ability to be self‐motivated, proactive and an effective team player
  • Ability to interact effectively and professionally with all levels of employees, both management and staff alike, vendors, clients, and others

Responsibilities

  • Performs administrative functions such as filing; correspondence log maintenance; processing incoming and outgoing correspondence and transmittals into the hard file and electronic database system; schedule meetings.
  • Manage documentation, and all filing system developments.
  • Tracks and manages all documentation associated with preparation of estimates, bids and proposals including amendments, RFI’s, etc.
  • Reviews, logs and acts upon incoming and outgoing documents associated with bids and proposals.
  • Coordinate responses to requests for proposals and invitations to bid.
  • Ensure compliance with Federal Acquisition Regulations as included in proposal and bid documents.
  • Specific assignments include specifying compliance requirements, determining priorities, allocating resources and assignments.
  • Assist in the review and analysis of Requests for Proposals (RFP's) and Invitations to Bid (ITB’s) to ensure full compliance of all responses.
  • Coordinate and schedule meetings related to pursuit kick-offs, estimating reviews and bid submission reviews, as well as team meetings and interdepartmental meetings.
  • Provided technical support to employees for bid and proposal tracking database.
  • Update and revise the database, as required or requested by employees and managers.
  • Update bid schedule (take off old/past bids and enter new opportunities)
  • Distribute bid schedule by email to bid schedule list
  • Maintain the bid schedule distribution list
  • Enter new opportunities into database.
  • Set up electronic and hard copy files for new opportunities
  • This position assists in the management and maintenance of the configuration, and support of the company’s Customer Relationship Management (CRM).
