About The Position

Pacific Coast Trane has an exciting new opportunity to join our organization as an Equipment Bid Coordinator. In this role, you will work closely with customers, account managers, and the estimating team to ensure timely delivery of project proposals. This is a high-impact role that plays a critical part in how we win work and execute as a team. This position is based out of the Trane Sunnyvale office and is structured as a hybrid role during the initial training period. You will be expected to be in the office a few days per week as you get up to speed, with the training period expected to last approximately one month.

Requirements

  • High School diploma or GED, with up to three (3) years of related experience and/or training; or an equivalent combination of education and experience
  • Working knowledge of office equipment and Microsoft Office products, with the ability to quickly learn additional software programs
  • Highly organized, with the ability to manage and track a calendar of upcoming bid opportunities
  • Strong professional communication skills, both written and verbal
  • Flexibility to work overtime as needed

Nice To Haves

  • Experience with Smartsheet and Salesforce is a plus
  • Experience reading mechanical plans is a plus

Responsibilities

  • Serve as a key point of coordination between Account Managers and the Estimating Team to ensure effective use and compliance of the Smartsheet tool (and eventually Salesforce once implemented in our office)
  • Review and identify potential opportunities through various search engines used by the business
  • Download, organize, and review project documents for critical information
  • Enter opportunities into Smartsheet as requests for proposals are received
  • Receive customer requests and link them to Salesforce opportunities (once Salesforce is implemented)
  • Forward opportunities and proposals to Account Managers and Estimating Teams
  • Maintain organized opportunity and proposal files
  • Assist in finding, entering, editing, and managing critical data related to opportunities
  • Support Account Managers with follow up activities after bids have been submitted
  • Run reports and create dashboards that track performance and support business objectives
  • Provide general administrative support to the sales process
