About The Position

As an Estimating Administrative Associate, you’ll be responsible for reviewing repair estimates line by line and matching them against insurance carrier estimates. You’ll be the person who catches what’s missing, keeps repair order files complete and accurate, and makes sure nothing falls through the cracks between the estimate, the carrier, and the technicians on the floor. This position is an entry point into the estimating side of collision repair, making it ideal for detail-oriented administrative, billing, or office professionals who want to build a career in this growing and rewarding field. No prior collision experience is required — training is provided.

Requirements

  • Prior administrative, office coordinator, billing, or customer service experience, ideally in a collision center, dealership, insurance, or automotive service environment.
  • Strong attention to detail and comfort working with numbers, invoices, and multi-page documents that must be compared line by line.
  • Proficiency with computers and standard office software (email, spreadsheets, Google Workspace).
  • Strong written and verbal communication skills, with the ability to follow up professionally with carriers, vendors, and customers.
  • Ability to manage multiple open files and competing deadlines in a fast-paced, technology-driven environment while maintaining accuracy.
  • High school diploma or equivalent required.

Nice To Haves

  • Experience with CCC ONE, Mitchell, or Audatex is a plus, but not required (training provided).
  • Tesla or EV-specific knowledge is a plus, but not required (training provided).

Responsibilities

  • Review and compare estimates line by line against insurance carrier estimates to identify discrepancies in operations, labor hours, parts, paint times, and rates.
  • Match estimates to the work actually performed is reflected accurately on the final estimate.
  • Prepare, document, and submit supplement requests, and track each one through carrier review and approval.
  • Maintain accurate, complete repair order files in the shop’s estimating and management systems, including photos, parts invoices, and supporting documentation.
  • Communicate with insurance adjusters, estimators, and technicians to resolve documentation questions and move approvals forward.
  • Track estimate and supplement status, flag aging or stalled files, and report on progress to shop leadership.
