Joining us is your chance to work, and do good, locally and we’ve got an opportunity for you. We are looking for an Estate & Trust Associate to join our team of wealth management experts. As an Estate & Trust Associate, you will champion estate and trust solutions as part of the organizations’ full suite of financial services. This opportunity is ideal for anyone looking to grow their career in estate & trust services! This is a Hybrid role and may require travel to all locations across Vancouver Island. Reporting to the General Manager, Private Wealth Group, the Estate & Trust Associate provides administrative and operational support to the Estate & Trust functions as part of the organization’s full suite of financial services. This role supports the coordination of estate and trust files, prepares and maintains documentation, tracks required follow-up, and assists with client service activities to help ensure files are managed accurately, efficiently, and in accordance with established procedures. The Estate & Trust Associate supports day-to-day administration by coordinating information between clients, internal partners, external professionals, the centralized administration team, and the Estate & Trust Specialist. The role helps organize meetings, prepare materials, maintain accurate records, respond to routine inquiries, and support a consistent client experience while contributing to the overall general administrative needs of the Wealth Group.

Requirements

  • Completion of secondary school diploma (Grade 12 or equivalent) required.
  • Completion of the Certified Executor Advisor (CEA) designation.
  • Completion of becoming a registered individual with CIRO.
  • Minimum of one (1) year of related experience in Estate and Trust administration in Financial Services.

Nice To Haves

  • Post-secondary education in a related discipline is preferred.
  • Five (5) years of progressive experience in Estate and Trust administration, in an account management, sales and/or client relationship management role an asset.
  • A combination of education and experience will be considered.
  • For the temporary 6 month opportunity, industry designations are not required.

Responsibilities

  • Provide day-to-day administrative support to the Estate & Trust and Wealth team, including preparing correspondence, organizing information, maintaining files, and tracking follow-up items.
  • Support estate and trust file administration by gathering required documents, monitoring outstanding items, updating records, and ensuring information is complete and accurate.
  • Coordinate meetings, appointments, client communications, and internal hand-offs to support a consistent and timely client service experience.
  • Prepare and maintain administrative documentation, reports, checklists, and workflow updates in accordance with established procedures and compliance requirements.
  • Respond to routine member/client inquiries, escalate complex matters as appropriate, and provide status updates to the Estate & Trust Specialist or other team members.
  • Liaise with internal partners and external professionals to request information, coordinate documentation, and support timely file progression.
  • Assess client estate and trust needs and identify opportunities to support financial preservation and wealth transfer strategies.
  • Deliver a seamless cross-divisional member/client experience using available technology, processes, and internal partnerships.
  • Maintain ongoing contact with existing members/clients to ensure needs are met, explore additional opportunities, and provide referrals to other business lines as appropriate.
  • Build employee engagement and internal referral opportunities to grow the estate and trust portfolio.
  • Maintain strong relationships with external partners and the wealth management team to support accurate, efficient issue resolution.
  • Ensure trust activities are managed, monitored, and evaluated in accordance with established procedures.
  • Collaborate with other members of the wealth team, providing general administrative support where required.
