About The Position

RecruitGo is seeking an Estate Planning Paralegal to join a dynamic legal team. This role involves preparing and managing key estate planning documents such as wills, trusts, and deeds, ensuring accuracy, organization, and efficiency in client files and workflows. The paralegal will work closely with attorneys and international teams, utilizing modern legal tools for drafting support, client coordination, and case tracking in a detail-focused, fast-paced environment.

Requirements

  • Excellent attention to detail.
  • Prior experience drafting and proofreading legal documents and use of drafting templates is essential.
  • Expert knowledge of English grammar and punctuation.
  • Experience using Microsoft Word.
  • Strong writing skills and good communication.
  • Will use Microsoft Outlook email/Microsoft Teams/Zoom to communicate with drafting team.
  • Familiarity with American culture and customs.
  • Self-starter and able to work independently, know which tasks to prioritize, and problem solve.
  • Must be an attorney in the Philippines (it is okay if they have not passed their bar exam, but they must have successfully graduated from law school).

Nice To Haves

  • Three years of experience as a paralegal, preferably within Estate Planning.
  • Experience drafting and reviewing wills, trusts, deeds, and entities is very helpful.
  • Experience using HotDocs or similar software, WealthCounsel templates, Westlaw Form Builder or similar software.

Responsibilities

  • Creating electronic client files and contacts/matters in Actionstep.
  • Drafting and sending Intro Emails to clients.
  • Assisting with the preparation of estate planning documents, including ancillary documents, Wills, Trusts, deeds, entity transfer documents, and Advanced Planning documents.
  • Providing work support to other members of the firm.
  • Communicating with clients to verify spelling of names, obtain missing contact information, and verify properties owned by the client (obtaining Deeds for real estate property or Certificate of Formation for entities).
  • Reviewing drafted estate planning documents for accuracy.
  • Communicating effectively with other paralegals, clients, third parties (e.g., accountants, insurance brokers), attorneys, and support staff.
  • Tracking and updating the status of drafted documents via Smartsheet.
  • Updating information in the firm’s client management database (Actionstep).
  • Monitoring the progress of assignments and bringing conflicts to the attention of the responsible attorney.
  • Ensuring efficient and effective use of estate planning software.
  • Identifying training needs and making necessary arrangements.
  • Identifying system problems and working with the System Administrator to find solutions.
  • Utilizing computers and appropriate software to perform tasks efficiently and according to company best practices.
  • Participating in training programs to learn and incorporate new computer skills and operational methods.
  • Exercising careful use of equipment and software and being aware of cybersecurity threats.
  • Reviewing the upcoming calendar to plan ahead for deadlines.
  • Auditing signed documents for accuracy and communicating any errors to the proper notary.
  • Sending text reminders to clients using the firm’s software.
  • Working with the internal team to ensure timely delivery of services to clients and ensure that client expectations are met.
