We offer a variety of solutions to law firms in the areas of probate, tax preparation, and fiduciary accountings by combining digital communication and data management applications with good, old-fashioned intelligence, attention to detail, and professionalism. With that, we have a unique work culture and are looking for the right people to join us. At this time, we are seeking an experienced full-time Estate and Trust Administration Specialist to join our team. Our Estate and Trust Administration Specialists serve as Project Managers for each estate. As an Estate and Trust Administration Specialist, you will be the primary point of contact for clients and responsible for managing the client's needs and expectations as they work through a challenging time. Requirements

  • College degree in a relevant field and/or have equivalent job experience.
  • Outstanding oral and written communication skills.
  • Proficient with calendars, e-mail, spreadsheets, word processing, and the Internet.
  • Competent in the use of MS Office (Word and Excel) at a minimum.
  • Ability to multi-task and manage time effectively.
  • Ability to maintain the confidentiality of clients and files.
  • Positive attitude, ambitious and energetic.
  • Detail-oriented and willing to go the extra mile to complete the job right the first time.
  • Extraordinary critical thinker with a high degree of attention to detail.
  • Organized.

Responsibilities

  • Communicating with clients and attorneys verbally and in writing.
  • Drafting correspondence to the Court, financial institutions, beneficiaries, and other entities encountered in the estate administration process.
  • Direct a small team of legal assistants and specialists in the timely and efficient administration of each estate assigned.
  • Review draft documents for accuracy.
  • Prepare Schedules of Assets and other documents to be used in our process.
  • Meeting and maintaining major deadlines and milestones in the estate administration process.
  • Using task management and billing systems to document completed work and inform other team members of progress.
  • Collaborating with tax and accounting specialists to determine the best action for administering estates.
  • Stuffing envelopes, applying postage, locking file cabinets, and even taking out the trash or washing dishes in the break room.
