The Escrow Officer role involves coordinating closing documents with buyers, sellers, lenders, and real estate agents, disbursing funds, and ensuring all documents are accurate and compliant with legal and regulatory standards.

Requirements

  • 1-2 years previous title company experience and/or bachelor's degree or established business background required.
  • Active Notary Public commission in the State required.
  • Strong ability to work professionally and collaboratively in a team-oriented environment.

Responsibilities

  • Entering closing figures and balancing files in ResWare Software.
  • Acting as the liaison between realtors and lenders prior to closing.
  • Working with the lender to obtain Lender’s Closing Package and Final CD (applicable for deals that are not classified as a cash deal).
  • Responding to and handling emails and phone calls from borrower, agent, lenders, and any other persons involved with a transaction according to CX guidelines.
  • Submitting requests to Clearance Team for review of title clearance items and preparation of miscellaneous required documents for closing.
  • Reviewing file’s supporting documentation, such as mortgage payoff statements, paid assessment letters, commission statements, tax bills, and anything else specific to file.
  • Entering closing figures into the Closing Disclosure (Buyer/Seller CD) and Settlement Statement within Resware.
  • Reviewing title commitments and coordinating the collection of required title clearance items.
  • Reviewing mortgage payoffs to ensure accuracy and completeness.
  • Auditing invoices, bills, and commission statements for accuracy.
  • Preparing, printing, and organizing all miscellaneous documents required for closing.
  • Attending and facilitating real estate closings, greeting buyers, sellers, agents while ensuring all required documents and identification are in place prior to commencement.
  • Ensuring the closing package is properly executed, including all required signatures and dates.
  • Serving as the liaison between Realtors and lenders during the closing process.
  • Balancing and disbursing funds within Resware in accordance with lender instructions and seller attorney closing statements.
  • Monitoring “My Actions” queue in Resware, or relevant team task spreadsheet, for all assigned tasks, prioritizing files by closing date, and completing assigned items in Resware.
  • Monitoring email daily for incoming requests and responding in accordance with CX guidelines.
  • Coordinating files as needed and as assigned by management.
  • Answering and responding to calls to the direct work phone number within the same business day.
  • Monitoring the shared team inbox, assigning tags as needed, and responding to email requests promptly.
  • Updating the coordinator checklist within each file, when applicable.
  • Balancing the bottom line in Resware to the Seller’s Closing Statement when provided.
  • Staying current with the closing calendar to ensure awareness of all scheduled transactions and updates.
  • Attending all scheduled closings as required.
  • Responding to post-closing emails and resolving inquiries in a timely manner.
  • Completing and addressing post-closing questions accurately and efficiently.
  • Managing and responding to emails related to upcoming closings to ensure readiness and alignment.
  • Participating in weekly activities and follow-ups as assigned to support closing operations.
  • Depositing and/or delivering Seller Proceeds, Realtor Commissions and any funds as required daily.
  • Attending team meetings either in person or virtual call (via camera) as scheduled by management.
  • Participating in closing huddles with the Closing team to review updates, priorities, and workflow coordination.
  • Utilizing the “Held Funds Report” to identify and appropriately disburse any held funds associated with assigned files.
  • Submitting monthly expense reports in a timely manner, ensuring accuracy and proper documentation.
  • Maintaining adequate closing office supply levels by monitoring inventory and restocking as needed.
