About The Position

The Escrow Officer role is an administrative position within the Real Estate industry, supporting a Senior Escrow Officer in managing real estate transactions from initiation to closing. This role involves working with buyers and sellers to ensure all aspects of the transaction are completed, including verifying property ownership, identifying any encumbrances that could prevent a sale (such as tax liens or outstanding loans), and ensuring buyers are aware of any legal or contractual obligations (like HOA rules or development restrictions). The Escrow Officer is involved in every step of the process, from the initial order to clearing the property for closing, and is expected to be knowledgeable enough to step in when the Senior Escrow Officer is unavailable.

Responsibilities

  • Assist a Senior Escrow Officer with daily activities and tasks required to get the transaction to the closing table.
  • Work with buyers and sellers to ensure all parts of a real estate transaction are completed prior to closing.
  • Guide the process from the initial "taking of the order" to getting it to the end zone where the property has been "cleared to close".
  • Ensure that no steps are missed in the transaction process.
  • Step in to get done whatever needs to be completed when the Senior Escrow Officer is out.
  • Provide clerical support during the escrow process of real estate transactions.
  • Open title orders.
  • Communicate with Lenders, Realtors and Customers to obtain all necessary information for a successful transaction.
  • Obtain funding authorization, when necessary, from Lenders after closing.
  • Review files for complete signatures and notarizations.
  • Scan documents into the operating system for digital document storage.
  • Balance and disburse funds in accordance with instructions.
  • Perform other duties as assigned by supervisor.
  • Adhere to company policies and guidelines.
  • Open escrows within 24 hours and ensure customers receive copies the same day.
  • Assist in processing escrows with a high degree of quality, including funding/balancing, figuring, clearing prelims, and signing clients.
  • Order all necessary documents to close escrows in a timely manner (i.e., demands, loan documents, and insurance).
  • Maintain records of communication with all partners involved in escrows.
  • Follow company standards and practices when processing transactions, as well as applicable state laws and guidelines.
  • Inform escrow officers of any missing items or problems relevant to closing.
  • Deposit any funds required by buyers and sellers of each escrow within 24 hours of receipt.
  • Return all calls, voicemails, and emails in a timely manner.
