About The Position

This role is crucial for the smooth execution of real estate transactions, acting as the central point of contact and support for closing representatives. The Escrow Assistant is responsible for collecting, organizing, and processing all necessary documentation to ensure timely and stress-free closings. This involves meticulous attention to detail in filing documents, processing payments, and identifying and resolving any discrepancies in paperwork. The position requires a friendly and expert approach to interactions with agents, buyers, sellers, lawyers, lenders, and surveyors, ensuring a positive experience for all parties involved.

Requirements

  • High school diploma or equivalent.
  • One to four years of escrow processing experience (based on the team this position will support).
  • Proficiency with Microsoft Office suite.
  • Strong written and verbal skills to clearly keep agents, buyers, sellers and all other parties up to date with the process and work with them to resolve issues.

Nice To Haves

  • Real estate industry experience in the areas of title, escrow, real estate or property management.
  • Knowledge of front- and back-end processing procedures.

Responsibilities

  • Serve as the first point of contact for customers by professionally greeting visitors and answering incoming phone calls.
  • Direct inquiries to the appropriate departments, provide general information, and ensure a positive customer experience.
  • Maintain a welcoming reception area and assist with administrative support as needed.
  • Provide outstanding assistance to the closing representative to ensure sales go smoothly and retain business through white glove service.
  • Prepare loan documents for signing, including vesting amendments when applicable.
  • Present loan documents and other records for signing and return loan documents to the lender after signing.
  • Follow up on funding conditions.
  • Review the real estate purchase contract, ensuring completeness and requesting any missing information.
  • Perform a preliminary audit and determine or obtain any necessary items to clear a title.
  • Prepare estimated closing statements for officer review.
  • Maintain files, record appropriate documentation, and send checks once the closing is complete.
  • Transmit documents to the lender.
  • Establish and maintain relationships with industry players to encourage them to choose the company as their first choice for escrow processing.
