About The Position

The Escrow Assistant is the glue that holds real estate transactions together and makes them happen. This role supports the closing representative and works with agents, buyers, sellers, lawyers, lenders, surveyors, and others. The assistant collects, organizes, and processes all necessary documentation to ensure the closing is completed on time with minimal stress. Details matter, and the assistant ensures documents are filed and checks are written after closing. They are responsible for identifying and fixing any issues with incomplete paperwork or incorrect details. Agents and clients appreciate their friendliness and expertise, and people depend on them to deliver.

Requirements

  • High school diploma or equivalent.
  • One to four years of escrow processing experience.
  • Proficiency with Microsoft Office suite.
  • Strong written and verbal communication skills to clearly keep agents, buyers, sellers, and all other parties updated on the process and to work with them to resolve issues.
  • Patience, able to handle pressing needs in a calm, friendly, and empathetic manner.
  • Organizational skills, attention to and tracking of details, and ability to assemble information into a complete, error-free package.
  • Detail-oriented, able to discover missing, incorrect, or incomplete items, bring them to attention, and pursue solutions.
  • Ability to multi-task and work in a fast-paced environment, processing a large number of contracts simultaneously under deadline pressure.
  • Professional demeanor, creating a positive image for the company.
  • Ability to read people and understand their personality to deliver news sensitively.

Nice To Haves

  • Real estate industry experience in title, escrow, real estate, or property management.
  • Knowledge of front- and back-end processing procedures.

Responsibilities

  • Providing outstanding assistance to the closing representative to ensure sales go smoothly and retain business through white glove service.
  • Preparing loan documents for signing, including vesting amendments when applicable.
  • Presenting loan documents and other records for signing.
  • Returning loan documents to the lender after signing and following up on funding conditions.
  • Reviewing the real estate purchase contract, ensuring completeness and requesting any missing information.
  • Performing a preliminary audit and determining or obtaining any necessary items to clear a title.
  • Preparing estimated closing statements for officer review.
  • Maintaining files, recording appropriate documentation, and sending checks once the closing is complete.
  • Transmitting documents to the lender.
  • Establishing and maintaining relationships with industry players to encourage them to choose the company as their first choice for escrow processing.
