About The Position

As part of the Enterprise PMO, the Project Analyst will assist the Manager, EPMO Support Services in defining and implementing project management processes, standards and best practices. The analyst will play a key role in the governance processes at the project and program level to support effective decision making by the appropriate governance body. During program execution, the Project Analyst will be responsible for gathering data that is collected through the PMO-defined processes, analyzing the data and preparing program status reports. The Project Analyst plays a central role between all business units to ensure alignment of capabilities delivered by project teams to the needs of the business. Provides support from initiation to the time where benefits of business cases are realized. Regularly works with problems or initiatives to achieve clearly defined requirements, bridge gaps where information is limited and/or complex.

Requirements

  • Completion of a diploma in project management, finance, computer science, data analytics, or a related discipline supplemented with 5 years of experience demonstrating the following:
  • Proven record of project delivery experience on projects involving business, IT and vendors as well as projects related to large/complex transformation programs.
  • Development and/or evaluation of service delivery related key performance indicators.
  • Proven analytical and problem-solving skills with experience in analyzing project data, leading and lagging indicators, predictive analysis, trend analysis and/or producing insights to optimize performances
  • Successfully interacting with key stakeholders and leadership in communicating status, problem resolution, risk and issue analysis.
  • Demonstrated ability to maintain respectful and collaborative working relationships with various teams and employees at all levels through integrity, influential leadership, diplomatic and tactful communications.
  • Proven communication skills (oral and written) to articulate ideas and concepts to specific audiences in order to present new ideas, strategies and innovative solutions that can improve current planning processes
  • Proficient in the use of project planning, project management, and project collaboration tools
  • Demonstrated commitment to professional development to acquire and maintain up-to-date skills related to project management, change management, and/or continuous improvement methods.

Nice To Haves

  • Certification in PMP/CAPM or Lean/Six Sigma would be considered an asset in this position.

Responsibilities

  • Support the development and maintenance of project management processes, governance, standards, documentation and templates.
  • Assist in the implementation and embedding of process, methods and best practices into project delivery activities, including project management, scope management, resource management, and procurement management.
  • Monitor projects to ensure compliance with EPMO governance and project controls and provide support where required, ensuring project plan and deliverables are completed according to the Enterprise Project Management Office methodologies and standards including maintaining risk and issue logs, decision logs, action items, change controls and deliverable management.
  • Facilitate and support effective and timely project and program governance through the identification and analysis of events that require escalation through governance processes.
  • Conduct program/project health checks to help assure program/project delivery facilitating stage gate reviews, project reviews, and monitoring for delivery to scope, time and cost, etc. to assess compliance, address issues and assess project progress and effectiveness of EPMO processes
  • Participate in the development and delivery of EPMO related meetings and forums.
  • Maintain and monitor program/project baselines and integrated program plan, with special emphasis on program critical path and dependencies between workstreams.
  • Monitor and evaluate program wide resource planning by gathering project resource and skill requirements, collecting resource utilization information and assisting in an optimal use of resources.
  • Gather project data including performance metrics, project and program status, issues, risks, benefit realization, costs, change controls and costs. Aggregate and roll-up project data to provide a comprehensive view of the program and projects.
  • Define processes to collect program costs, including labor, software and hardware, and other types of costs. Gather financial data related to projects on budgets, costs and variances.
  • Support requests for information and data from independent advisors (to various governance committees) relating to formal risk assessments and progress reports.
  • Assist in identifying key program performance indicators, which are used to produce integrated dashboard reports at the program level to show program/project delivery status.
  • Set up and configure project management tools including MS Project, SharePoint and Excel so they can be used to capture and store project related information such as project plans, risk and issue logs and deliverable information.
  • Gather data and conduct analysis to support the preparation and documentation of business cases for proposed solutions. Ensure business benefits and benefits realization key performance indicators (KPIs) are clearly defined before implementation.
  • Support daily management system. Commit to continuous identification of opportunities to improve quality of deliverables, processes and tools based on the insights gathered from analyzing project and program data.
