About The Position

Under the direction of Entertainment Management, the Entertainment Specialist will be responsible for managing projects related directly to Entertainment and Special Events. This role involves a variety of administrative and coordination tasks to support the Entertainment Department.

Requirements

  • Ability to effectively communicate in English (read, write, speak & understand)
  • Minimum of 1-2 years’ experience working directly in entertainment environment required.
  • Must be able to read “fine print” areas of invoice and contracts.
  • Strong organizational abilities needed.
  • Ability to maintain composure under pressure.
  • Must be able to work holidays and weekend, as well as flexible shifts and/or unusual hours. Individual must work headliner shows and special events as assigned and/or scheduled.
  • Ability to meet artist upon arrival prior to engagement dates.
  • Must be proficient in Microsoft Office programs.
  • Must be able to compose letters and generate reports as requested on the tight timeline.
  • Must be able to retain confidentiality within the department.

Nice To Haves

  • Minimum 1-2 years’ experience in casino environment preferred.

Responsibilities

  • Responsible for routing contracts in-house as well as routing contracts to vendors. Must assure all contracts are fully executed and routed to Finance, Legal, Purchasing and kept in Department file.
  • Confirming all vendors complete vendor registration forms with the Purchasing Department and that all vendors submit their certificate of insurance prior to the event date.
  • Generate all payments of invoices including cash advances, deposits, and balances.
  • Responsible for creating welcome letters and envelopes for Entertainment Hotel keys.
  • Creating and updates all Fire Permits and Applications
  • Creating Expense Reports for Entertainment Department employees.
  • Creating and updating spreadsheet to reflect needs of the Director of Entertainment.
  • Updating all marked contracts, configuring them into proper folders for the department.
  • Coordinating credentials and distribute all assets with Marketing.
  • Assisting Entertainment heads with special assignments and necessary tasks on day of show.
  • Compile an Around the Town Entertainment Report.
  • Provides thoughtful service at all times to guests and co-workers
  • Performs routine administrative duties with the department as needed.
  • Composes correspondence as needed, sorts mail, screens phone calls
  • Perform all other duties assigned
