About The Position

The ensemble assistant assists the Mainstage Theater production team in a variety of ways from rehearsal support to administrative assistance. In performance settings, the assistant leads by example, demonstrating strong, healthy technique and strong performance skills, as well as the ability to lead individual or small group coaching sessions. The assistant helps manage the tech team by organizing meetings and overseeing rehearsal reports and communications. They work with staff, the director, and students to accomplish a variety of administrative tasks that could include: box office assistance, contacting students, maintaining rosters, tracking costumes, maintaining equipment, setting up the lobby or theater space, writing program notes, publicity tasks including social media, planning events, and recruiting. The ensemble assistant could perform all or a subset of these duties, depending on the needs of the director and ensemble.

Requirements

  • Bachelor’s degree in business, theater, or graphic design preferred.
  • Comfort in a diverse environment working with a variety of learning styles.
  • Microsoft Office programs, Adobe, Photoshop, email, text, and basic social media abilities.
  • Able to lift 30 lbs.

Responsibilities

  • Complete Administrative Tasks
  • Support and mentor student tech team members (Stage Managers, Social Media Coordinators, Props Makers, etc.)
  • Assist with paperwork for auditions, casting, program creation and social media
  • Assist with rosters and attendance
  • Schedules production team meetings and checks in with each department between meetings to ensure all action items are being addressed
  • Other duties as requested by the director
  • Attends Auditions and Helps Assist with Casting
  • Attends auditions and callbacks
  • Provides written feedback for auditionees
  • Supports the director in the casting process by proofing and creating casting emails, cast lists, and other communications
  • Attends Production Meetings and Oversees Task Delegation
  • Attends production team meetings
  • Assists in delegating action items to student, staff, and faculty team members
  • Reports back to director if issues arise
  • Uses creative problem solving skills to find solutions to problems as they arise
  • Helps Set Up Lobby and Communicates with Box Office
  • Helps set up the lobby (programs, signage, resources, photo booths, concessions, decorations) and communicates with student and faculty or staff members to coordinate lobby set up for each show
  • Communicates with Box Office about school sales, groups sales, and special ticket needs
