About The Position

As an ally, liaison, and ambassador, the Engagement Coordinator will partner with the Executive Vice President, Chief Impact Officer to manage, and prioritize the constant, ever-changing events for internal and external initiatives. This position will support critical strategy components for engaging with internal and external audiences and stakeholders. The primary responsibilities of this role are to provide general administrative support as well as logistical coordination to ensure the success of engagement and event opportunities, and communications both internally and externally as needed. This position will be with Stratacor, an affiliate of Delta Dental of Minnesota. Applicants must be authorized to work for any employer in the U.S. We are unable to sponsor or take over sponsorship of an employment authorization at this time.

Requirements

  • Organizational skills with the ability to manage multiple projects, prioritize tasks, and meet deadlines.
  • Technology proficiency in social media platforms and Microsoft Office applications (e.g., Word, Excel, PowerPoint, Outlook).
  • Excellent written and verbal communication skills, grammar, proofing, and interpersonal relationships.
  • Ability to take initiative and anticipate needs to complete tasks in a timely manner and coordinate multiple priorities in a busy environment.
  • Ability to maintain sensitive and confidential information.
  • Adaptable to potential changes in availability before or after core business hours.
  • Bachelor's degree and/or equivalent work experience.
  • Four (4) years of work experience in an office setting
  • Administrative work experience

Responsibilities

  • Support the Executive Vice President, Chief Impact Officer with monitoring and scheduling events, including preparatory and follow-up meetings that may apply.
  • Research, draft, and communicate communications to applicable stakeholders both internally and externally.
  • Responsible for making reservations (e.g., restaurants, catering, parking, accommodations, conference rooms, venues), event setup and take down, entertainment, gifts, A/V, transportation, decor, etc.
  • Assist in arranging calendars, meetings, travel, expense reports for the Executive Vice President, Chief Impact Officer; including registering for virtual and in-person events.
  • Responsible for filing, organizing and maintaining all supporting documentation for each business initiative.
  • Proofread communication materials and make suggestions/edits as necessary before seeking approval to finalize.
  • Develop and maintain an annual calendar of events.
  • Coordinate guest lists, menu selections, invitations, event communications, distribute tickets, manage RSVPs, and follow-up actions to ensure attendees are secured in advance.
  • Send notification of event to Corporate Security to ensure advance protocols are conducted, as needed.
  • Attend and provide support activities necessary for scheduled events, as requested.
  • Schedule and coordinate meetings and events that involve networking with community leaders.
  • Take event photos, file and organize photos, and provide to various stakeholders as requested.
  • Support and assist with executive initiatives such as team member survey(s), strategic plan, events (e.g., Voices of our community).
  • Prepare highly confidential materials, agendas, and presentations.
  • Other duties as assigned.
