About The Position

The Employee Relations Case Manager provides operational support for Employee Relations and supports workplace investigations involving Title IX, BOG Rule 1.6, the Code of Conduct, and related University processes. Under the direction of the Assistant Director of Internal Investigations and the Director of Employee Relations/Medical Management, the position coordinates the lifecycle of employee investigations and ER matters, including intake, case assignment, documentation, records management, communications, deadline tracking, reporting, and case closure. The Employee Relations Case Manager also supports Employee Relations by maintaining investigation case-management system, discipline logs, performance-related records, supporting the non-renewal process, compiling reports and case data, and assisting leadership with trend information and process improvement. The position maintains confidentiality, impartiality, accuracy, and compliance with applicable University policies and procedures in all assigned work.

Requirements

  • Bachelor’s degree in communications, business, or a related field, or equivalent professional experience.
  • A minimum of two (2) years of experience in program management.
  • Any equivalent combination of related education and/or experience will be considered.
  • All qualifications must be met by the time of employment.
  • Ability to exercise appropriate judgement in sensitive and unique and unpredictable situations.
  • Must have sensitivity to an ability to discern appropriate action in high risk personal and emotionally charged situations.
  • Ability to work in a fast paced and confidential environment with the ability to provide high-level administrative support, multi-task and prioritize.
  • Excellent communication skills in both written and verbal form.
  • Ability to organize workload with close attention to detail, manage multiple tasks and timelines, and make appropriate decisions following university policies and procedures.
  • Ability to maintain confidential information in dealing with sensitive, complex Human Resources issues.

Responsibilities

  • Provides case-management support for Employee Relations investigations in the GME case management system, including matters involving workplace investigations, Title IX, BOG Rule 1.6, the Code of Conduct, and related Employee Relations processes.
  • Maintains accurate, complete, confidential, and audit-ready Employee Relations investigation case files, databases, and case records; generates routine correspondence; completes case assignments as directed; manages documentation; tracks deadlines; and supports timely case closure.
  • Reviews interview transcripts and case documentation for completeness, formatting, and recordkeeping requirements; identifies issues for investigators or Employee Relations leadership.
  • Coordinates and prepares, as directed, required investigation notices, correspondence, case summaries, timelines, evidence and interview materials, reports, and other documentation for authorized parties, investigators, leadership, and General Counsel.
  • Tracks investigation timelines, procedural requirements, outstanding action items, and case status; provides regular status updates to leadership.
  • Supports Employee Relations leadership with approved informal-resolution and employee-concern processes by coordinating documentation, scheduling, communications, and assigned follow-up actions.
  • Retrieves, organizes, and coordinates records for FOIA/public-records requests, General Counsel, leadership, audits, and other authorized inquiries.
  • Maintains and updates case-management templates, procedures, checklists, and tracking tools; compiles case data and assists leadership with reports, metrics, trend information, status updates, and workflow or data-quality improvement opportunities.
  • Manages the Employee Relations vanity email, voicemail, and other intake channels; responds to general inquiries and routes concerns to the appropriate office or ER Specialist.
  • Communicates with employees on basic employee relations/policy questions, and directs to other Talent and Culture functions, as needed.
  • Provides general procedural information regarding investigations, Employee Relations discipline procedures, Title IX, and related processes within delegated authority.
  • Connects employees, students, supervisors, and other stakeholders with appropriate campus and community resources, including FSAP, Carruth, Student Conduct, and accommodation-related services.
  • Coordinates with leadership and campus partners regarding interim measures, supportive measures, referrals, and other assigned follow-up actions.
  • Coordinates Title IX advisor assignments and maintains advisor availability, training, and contact information.
  • Schedules Title IX meetings, pre-hearing conferences, hearings, and related proceedings involving parties, witnesses, advisors, investigators, hearing officers, and third-party adjudicators; coordinates Title IX-specific notices, materials, technology, accessibility needs, communications, and meeting logistics.
  • Provides Title IX participants with general procedural information and technical and administrative hearing support; maintains confidential Title IX case, hearing, and advisor-assignment records and monitors hearing- and advisor-related deadlines and follow-up activities.
  • Provides support for performance management, corrective actions, probationary reviews, non-renewals, limited-term appointments, mandatory FSAP referrals, terminations, and other related Employee Relations processes; maintains associated tracking logs and supporting records.
  • Coordinates and communicates applicable employment actions, including terminations, to the Shared Services Center, Benefits, Payroll, and other authorized stakeholders; follows up to support timely processing, including payroll removal when applicable.
  • Serves as a liaison with third-party contracting or staffing agencies regarding employment-practice questions and required documentation, under the direction of Employee Relations leadership.
  • Compiles, maintains, and organizes Employee Relations discipline log, performance, workplace-conflict, and related process data; assists leadership with preparing reports, metrics, status updates, and trend information.
  • Maintains confidentiality, impartiality, professionalism, and sound judgment when handling sensitive employee, student, investigation, Title IX, and other confidential information.
  • Assists with training materials, templates, process guides, and other special projects as assigned.
  • Serves as a backup for the Intake Coordinator and HR Representative, as needed.
  • Performs other related duties as assigned.
