About The Position

This role will be located at one of Discovery Land Company’s locations: Dune Deck Beach Club, set in Westhampton Beach, New York. Dune Deck Beach Club is seeking an Employee Housing and Operations Administrative Assistant to join the Operations Department. At Discovery Land Co, people are our priority and this position is suited for an administrative superstar who is also very motivated to help others. As a key support for our employees in seasonal houing, you will be a “first face” of offering help and direction to those new to the area. If you have a heart for hospitality and ability to handle multiple projects, we welcome your application. Requirements

  • Proficient in Microsoft Office Suite.
  • Excellent communications and people skills.
  • Meticulous planner and highly organized.
  • Possess basic computer knowledge.
  • MS Office Suite and Teams
  • Ability to work effectively with all personality types.
  • Ability to understand and carry out verbal and written instructions independently.
  • Ability to work within a fast-paced, high-growth work environment.
  • Ability to work flexible hours, including weekends, holidays, morning, and nights.
  • Ability to work in all weather conditions and temperatures to include inside and outside areas.
  • Positive attitude, professional demeanor, and exceptional communication and interpersonal skills to deliver service to members, guests, and team members.
  • Must be able to work flexible work hours/schedule including evenings, weekends, and holidays.
  • Long hours may be required due to business demands.

  • Ability to meet the physical demands of the position including, but not limited to, working indoors and outdoors in all weather conditions, standing, walking, and moving for periods of greater than eight (8) hours, and lifting and carrying items sometimes greater than fifty (50) pounds.

Responsibilities

  • Always provide our employees with prompt and professional service.

  • Administration of employee housing, including but not limited to: Overall supervision of in-season, active employee housing to ensure a constant presence and a safe, professional environment.
  • Keep an organized, updated occupancy calendar to allow for planning, scheduling and coordination of all employee housing arrivals and departures, including move-out cleaning and move-in preparation.
  • Communication of expectations to tenants, including timely responses to any housing-related employee questions, requests or issues.
  • Submissions of any required maintenance and cleaning tasks to AGM.
  • Cleaning, organization and overall upkeep of property.
  • Management of all employee housing rent payments and utility billing using Innago.
  • Assist Human Resources leadership with any administrative tasks (employee onboarding, documentation, operations, etc.) as assigned.
