About The Position

The Employee Experience Specialist is an operations and people-facing role that serves as the first point of contact for employee inquiries and HR support, fostering a positive employee experience through responsive service and effective communication. This role coordinates onboarding, employee relations intake, leave administration support, HR operations, employee engagement activities, and compliance processes while collaborating with the HR team to support employees throughout their employment journey.

Requirements

  • 2-3 years of Human Resources, employee relations, customer service, or administrative experience preferred.
  • Demonstrated ability to build trust and professionally handle confidential and sensitive employee matters.
  • Strong interpersonal skills with the ability to communicate effectively with employees at all levels of the organization.
  • Exceptional customer service mindset and commitment to creating a positive employee experience.
  • Strong organizational, time management, and multitasking skills.
  • Excellent written and verbal communication skills.
  • Strong attention to detail and follow-through.
  • Proficient in Microsoft Office Suite and HRIS systems.

Responsibilities

  • Serves as the primary point of contact for employee questions, concerns, and HR-related inquiries.
  • Provides first-level support and guidance to employees and managers regarding HR policies, processes, and workplace concerns.
  • Conducts intake for employee relations matters and escalates complex or sensitive issues to the appropriate HR team member.
  • Maintains documentation of employee concerns, inquiries, and resolutions as appropriate.
  • Monitors employee suggestion boxes and assists with employee feedback initiatives.
  • Creates and distributes employee communications, including HR newsletters and announcements.
  • Supports employee recognition, wellness, engagement, and culture initiatives.
  • Manages the HR e-mail box daily and ensures inquiries are addressed or appropriately routed.
  • Serves as lead processor for employee change forms and audits documentation for accuracy and completeness.
  • Maintains employee personnel files and HR records in accordance with company policy and legal requirements.
  • Processes employment verifications after receiving proper consent forms.
  • Completes unemployment claim documentation and related follow-up activities.
  • Performs audits of payroll, benefits, HRIS, and personnel records and recommends corrective action as needed.
  • Runs assigned HR reports and compliance tracking reports.
  • Assists with HR projects, reporting, correspondence, and process improvement initiatives.
  • Maintains department supplies and coordinates routine administrative functions.
  • Serves as the initial contact for leave of absence requests, including FMLA, disability, paid family leave, and accommodation inquiries; provides employees with required leave forms, packets, and informational resources.
  • Coordinates collection of documentation and prepares leave files for review by the HR Generalist.
  • Tracks leave paperwork and ensures timely follow-up with employees and providers.
  • Processes required documents through payroll and insurance providers to ensure accurate recordkeeping and deductions.
  • Coordinates onboarding activities for new hires to ensure a welcoming and organized employee experience.
  • Prepares onboarding materials, employee files, badges, parking tags, and required documentation.
  • Assigns required policies, trainings, and acknowledgements through HR systems.
  • Conducts onboarding touchpoints and assists with new hire follow-up activities.
  • Processes employee separation activities, including coordination of communications, checklists, system updates, and record retention requirements.
  • Supports exit interview administration and employee offboarding processes.
  • Designs and coordinates employee wellness initiatives in partnership with benefit providers and wellness representatives.
  • Plans and coordinates employee appreciation programs, recognition initiatives, and corporate events.
  • Supports organizational culture and employee engagement activities across all locations.
  • Maintains HRIS data integrity through timely and accurate data entry and audits.
  • Supports compliance activities including labor law postings, annual notices, document retention, and regulatory requirements.
  • Assists in maintaining HR policies, procedures, forms, and employee resources.
  • Participates in cross-functional meetings with payroll, accounting, and operational departments to ensure workforce data accuracy.
