About The Position

The Emergency Room Receptionist supports the HCMH mission, vision, and values by collecting and entering accurate data in a friendly and efficient manner to initiate the creation of a medical record and complete the full registration process. This role involves answering and directing phone calls efficiently and professionally. The position can be combined with other Emergency Department functions as needed.

Requirements

  • High school diploma or equivalent required.
  • Excellent communication, telephone, and customer service skills required.
  • Proficient typing and computer skills required.
  • Must speak and read English fluently.
  • Must be able to operate standard office equipment efficiently (Copy machine, fax, scanner, etc.).

Nice To Haves

  • EPIC with Medical office experience is preferred.
  • Medical terminology knowledge is helpful.

Responsibilities

  • Serve as switchboard operator and receptionist, processing incoming and outgoing telephone calls efficiently, politely, accurately, and quickly.
  • Utilize overhead paging system announcements and codes with clarity and in a calm manner.
  • Release patient information as permitted by hospital policy.
  • Greet customers proactively with a smile and arrange for them to be escorted to their destination.
  • Function as “one call” representative for outgoing transfers from TRMC, obtaining necessary patient information, creating an outpatient encounter in EPIC, and notifying the on-call EMS crew.
  • Monitor security cameras at hospital entrances and facilitate appropriate response, including contacting law enforcement if necessary.
  • Monitor hospital-wide alarms (fire panel, generators, etc.) and contact appropriate personnel to respond.
  • Interview patients or representatives to obtain complete and accurate information for the admission record, including obtaining identification and supporting documentation.
  • Obtain signatures on medical and financial documents.
  • Scan necessary documents into patient’s chart.
  • Prepare identification wristbands/labels for patient identification.
  • Distribute registration documents to medical records, ancillary departments, nurses’ stations, and other necessary departments.
  • Arrange for escort of patient to room (inpatient) or to appropriate ancillary department (outpatient).
  • Enter necessary changes on computer for updated demographic or billing information and status changes.
  • Ensure all patients are registered before discharge, prioritizing registrations during periods of high volume.
  • Meet registration standards goals and expectations set by the Revenue Cycle Manager and department.
  • Use interpersonal skills effectively to build and maintain cooperative working relationships.
  • Work and communicate in a positive, courteous, and cooperative manner with all personnel, patients, and their families.
  • Carry out assignments responsibly, accurately, and efficiently, taking responsibility for actions.
  • Participate in a positive and cooperative manner during office meetings and mandatory in-services.
  • Assure a tactful, personable approach in dealing with issues, demonstrating a willingness and ability to receive/give constructive feedback.
  • Listen effectively and be receptive to alternative or new ways of doing things/ideas.
  • Assist in training new employees if necessary.
  • Participate, as directed, in the quality improvement process.
  • Promote a positive hospital image to the community, patients/visitors, and coworkers.
  • Utilize time and resources in an efficient manner.
  • Follow all department, hospital, and safety policies and procedures.
  • Attend all mandatory department or hospital-wide meetings.
  • Willingly and carefully complete additional assignments when given within the time limit requested.
  • Assist the Emergency Department with special projects or assignments as requested.
  • Participate in continued education opportunities as requested.
