About The Position

Reporting to the Program Director, the Manager is responsible for the daily multidisciplinary operations and strategic practice management of the Emergency Medicine Division and Prehospital Medicine environment at Baystate Health. The Manager functions as a critical liaison between clinical leadership and administrative infrastructure, serving as an administrative partner to the Vice Chair of Clinical Operations (VCCO), EM Program Director, and Chief of the Division of Prehospital & Disaster Medicine. This role balances direct oversight of EMS and prehospital initiatives with division-wide administrative leadership—including personnel onboarding, workforce analytics, network-wide staffing projections, and clinical hours management. The Manager ensures operational excellence across the emergency services service line by designing systems that optimize financial performance, credentialing efficiency, and employee engagement. Working closely with the Chief of the Division of Prehospital & Disaster Medicine, the Emergency Services Service Line leadership team, and other operational partners, the Manager designs, implements, and manages systems and processes that optimize patient care delivery, operational efficiency, financial performance, and employee engagement.

Requirements

Strategic Leadership: Ability to translate high-level strategic goals into actionable operational workflows and division-wide policies.
Workforce Logistics: Advanced proficiency in managing clinical hours tracking, FTE allocations, and network-wide staffing projections.
Project Management: Proven ability to manage complex initiatives, such as service-line launches, from concept through implementation.
Professional Diplomacy: Excellent communication skills to navigate sensitive conversations involving physician/APP scheduling or leave management.
Financial Acumen: Deep understanding of healthcare financial operations, including budget development and variance monitoring.
Data Literacy: Ability to leverage technology and data visualization tools to present complex staffing or financial reports to leadership.
Team Engagement: Commitment to coaching and mentoring staff while fostering a collaborative and inclusive culture.
Bachelor’s Degree in Healthcare Administration, Business, or related field.
3–5 years of progressive management experience in emergency medicine or clinical operations

Master’s Degree (MHA, MBA, or MPH).
Practice management, professional billing/coding, workforce scheduling, and EMS operations.

Responsibilities

Scheduling & Workforce Analytics: Partner with Community Chiefs and APP leadership to manage complex hours tracking, scheduling processes, and supplemental cost analyses.
Onboarding & Credentialing: Manage administrative orientation for all new departmental personnel and act as the primary liaison with medical staff offices.
Staffing Strategy: Create and manage annual projections for network-wide staffing and FTE allocation to ensure long-term stability.
Workforce Allocation: Oversee the per-diem team and the allocation of clinical shifts across the network, including Flex Pool management.
HR & Leave Liaison: Monitor practice FMLAs and interface directly with HR and the Leaves Office for compliance.
Executive Support: Assist leadership with high-level initiatives including budget projections, staffing analyses, and service-line expansion.
Policy & Practice Management: Lead the creation and revision of departmental policies to ensure alignment with health system goals.
Prehospital Operations: Oversee operational performance and stakeholder relationships within the EMS and Prehospital Medicine environment.
Financial Oversight: Support budget development and variance monitoring while utilizing operational dashboards to identify cost savings.
Process Improvement: Lead initiatives using structured methodologies (e.g., Lean) to optimize clinical and administrative workflows.
Collaborative Governance: Foster relationships with internal stakeholders (Medical Staff Office, HR, Finance) and external partners (EMS agencies, transport vendors).
