About The Position

The purpose of this position is to process appointment-based services within the Energy Assistance Services Department through the online portal; queue non-emergency and emergency services for clients seeking energy assistance. This role involves utilizing end-user software and communication devices to verify and initiate client service processes, ensuring quality services, follow-up, and timely execution of services. Staff may educate clients on using the automated system, applying via website, and submitting documentation via USPS mail. The position also requires preparing various documents, reports, logs, dashboards, and tally sheets, and potentially reviewing and responding to complaint documentation and client information. Collaboration with staff to ensure accurate reporting and analysis by management is also a key aspect. Additionally, the role demands absolute confidentiality regarding client information, scanning, uploading, and distributing client documentation, and attending agency meetings and professional development trainings.

Requirements

  • High School Diploma or GED required.
  • One year of work experience in the clerical field or a related field.
  • Any equivalent combination of education, training, and experience which provides the requisite knowledge, skills, and abilities for this job.
  • Successful results of pre and continued employment assessments including fingerprinting, drug testing, medical examinations and background check(s).

Responsibilities

  • Process appointment-based services for clients in the online portal, including non-emergency and emergency services.
  • Utilize end-user software and communication devices to verify and initiate client service processes, confirming appointments.
  • Ensure quality services, follow-up, and timely execution of non-emergency and emergency services through best practices in appointment fulfillment and application processing.
  • Educate clients who cannot use the automated system on how to get their applications processed efficiently.
  • Educate callers on how to apply via the website and submit necessary documentation via USPS mail service.
  • Prepare various documents, reports, logs, dashboards, and tally sheets to assist in preparing reports and records.
  • Review and respond to complaint documentation, statistical client information, and numbers of applications processed.
  • Work alongside staff to ensure reporting is accurately stated, submitted, and analyzed by Management.
  • Ensure absolute confidentiality with respect to all information regarding families serviced by the Energy Assistance Services program.
  • Scan, upload, and distribute client documentation needed to facilitate application determinations of benefits.
  • Attend agency meetings and professional development trainings, conferences, and seminars as needed.
  • Perform other related duties as required.
