About The Position

The Egg Donor Cycle Coordinator plays a critical role in overseeing the compliance and safety of the egg donation process from scheduling through retrieval. This position serves as the primary liaison between the donor and the clinic, ensuring seamless coordination of the donation cycle while maintaining strict adherence to regulatory standards and internal protocols. The coordinator ensures all medical, legal, and compliance requirements are fulfilled prior to egg retrieval, supporting a smooth and ethical donation experience. The Egg Donor Cycle Coordinator plays a vital role in managing the coordination of the egg donor cycle in collaboration with the donation facility and ensuring all regulatory requirements and internal protocols are met. This position requires a passion for reproductive health and family building, and the ability to manage sensitive information with professionalism and discretion. The Egg Donor Qualification Coordinator drives egg donor qualification by managing the egg donor’s donation journey. The Egg Donor Cycle Coordinator inspires women to help individuals undergoing fertility treatment via egg donation and impacts organization through interactions held with donor candidates and fertility clinics.

Requirements

  • Ability to speak and write English; communicate effectively and professionally with donors and external contacts; read and comprehend instructions; write routine reports and correspondence; and effectively present information in one-on-one and small group situations to clients and employees.
  • Ability to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions, and decimals.
  • Ability to carry out instructions furnished in written or oral form and deal with problems involving several concrete variables in standardized situations.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) or equivalent productivity software, with the ability to create, edit, and manage documents, spreadsheets, presentations, and email communications effectively.
  • Excellent customer service skills; high level of interpersonal skills to interact with peers and management; strong attention to detail in composing, typing and proofing materials; excellent organizational skills; ability to handle multiple tasks simultaneously; and ability to maintain confidentiality.
  • Two or more years of related experience required.
  • Associate’s degree minimum, bachelor’s degree preferred.

Nice To Haves

  • Previous experience with IVF, Reproductive Endocrinology and Infertility, or third-party reproduction preferred.

Responsibilities

  • Coordinate all aspects of the egg donor cycle in collaboration with donor and clinical partners.
  • Responsible for developing and maintain clear, accurate cycle instructions for egg donors, including medical guidance, timeline details, and donor expectations.
  • Serves as the primary point of contact for egg donors, providing timely support, education and guidance related to medical procedures, test results, and cycle milestones.
  • Serve as the primary point of contact for donors throughout the cycle, providing timely updates and support regarding medication protocols.
  • Tracks completion and compliance of required physical exams, lab tests, legal documents, and insurance coverage prior and during donor cycle.
  • Confirms insurance coverage and manage documentation related to donor insurance policies.
  • Responsible for collecting and routing cycle-related documentation to the Quality Assurance team and Medical Director for review, and eligibility determination.
  • Maintain detailed records in compliance with regulatory standards and internal protocols.
  • Collaborate with legal, clinical, and administrative teams to ensure seamless cycle execution.
  • Collects and processes invoices from vendors, ensuring accuracy, timely submission, and compliance with internal accounting procedures and payment schedules.
  • Maintains demonstrated proficiency with all applicable Standard Operating Procedures.
  • Complies with all regulatory, quality assurance, quality control, and standard operating procedures.
  • Contributes to team effort by maintaining an excellent rapport and working relationships, internally and externally, including all vendors and clinical service providers.
  • Supports onboarding and training of new employees by providing guidance, resources, and mentorship to ensure a smooth transition and understanding of donor program and company procedures.
  • Collaborates with colleagues overseeing other stages of the donor journey to ensure seamless transitions and continuity of support for all donors.
  • As business needs dictate, works extended hours to complete daily department goals or tasks. May include overtime.
  • Possible need for domestic and/or international travel (less than 5%).
