About The Position

The EEG Coordinator is responsible for coordinating and managing the EEG testing process for both inpatient and outpatient patients from the time the physician's order is received until the study is completed. This position serves as the primary liaison between ordering providers, patients, nursing sta , and ancillary departments to ensure EEG testing is scheduled, performed, and resulted in a timely manner. The EEG Coordinator works closely with physicians to prioritize urgent studies, resolve scheduling barriers, and monitor completion of ordered EEGs to support high-quality patient care. In addition to coordination responsibilities, the EEG Coordinator performs EEG studies using the Zeto EEG system. Training on the Zeto EEG system will be provided as needed; EEG certification is not required. This position requires travel between multiple DNC locations to perform Zeto EEG testing and support patient care across the organization. The ideal candidate will also possess Medical Assistant (MA) skills and be able to assist with clinical duties as needed while maintaining e icient workflow and high-quality patient care.

Requirements

  • High school diploma or equivalent required.
  • Previous experience as a Medical Assistant is required.
  • Willingness and ability to travel between multiple clinic locations.
  • Strong organizational and time management skills.
  • Excellent communication and interpersonal skills.
  • Ability to coordinate multiple priorities in a fast-paced healthcare environment.
  • Knowledge of medical terminology.
  • Ability to work collaboratively with physicians and multidisciplinary teams.
  • Proficiency with electronic medical records and scheduling systems.
  • Ability to learn and operate the Zeto EEG system.
  • Proficiency in Medical Assistant clinical skills, including obtaining vital signs, preparing patients for examinations, and supporting providers during patient visits.
  • Flexibility to work at multiple locations based on operational needs.

Nice To Haves

  • Graduate of an accredited Medical Assistant program preferred.
  • Experience working in a hospital, neurology practice, or diagnostic testing environment preferred.
  • Experience with scheduling, patient coordination, or care management preferred.
  • Experience performing EEGs or other diagnostic testing is preferred but not required.
  • Previous neurology or EEG experience.
  • Experience with the Zeto EEG platform.
  • Current Medical Assistant certification (CMA, RMA, or equivalent) preferred but not required.
  • Bilingual (English/Spanish) preferred.

Responsibilities

  • Monitor and manage all inpatient and outpatient EEG orders from receipt through completion.
  • Review EEG orders for accuracy and communicate with ordering providers regarding questions, priorities, or clarification.
  • Coordinate scheduling of routine, stat, and urgent EEG studies to ensure timely completion.
  • Track all pending EEG orders and proactively follow up to prevent delays in patient care.
  • Communicate with patients and families regarding outpatient appointments, preparation instructions, and scheduling changes.
  • Perform EEG studies using the Zeto EEG system according to departmental protocols.
  • Travel to multiple DNC clinic locations to perform EEG testing and provide support where services are needed.
  • Assist with Medical Assistant duties, including patient intake, vital signs, and other clinical support responsibilities, as needed.
  • Ensure studies are uploaded, documented, and available for physician interpretation.
  • Maintain accurate documentation in the electronic medical record (EMR).
  • Coordinate repeat studies or additional testing as requested by interpreting physicians.
  • Assist with prioritization of workload based on physician requests and patient acuity.
  • Monitor departmental performance metrics related to EEG turnaround times and identify opportunities for process improvement.
  • Collaborate with physicians and leadership to improve workflow e iciency and patient access.
  • Maintain equipment functionality and report equipment issues promptly.
  • Participate in quality improvement initiatives and departmental meetings.
