About The Position

This is an opening for a 0.5 FTE Educational Administrative Assistant position located at Claremont Immersion Elementary School. The role involves performing a full range of administrative support and secretarial duties to support the instructional program, assisting school administration, teachers, and overall school operations. Specific responsibilities include serving as a receptionist, composing correspondence, organizing files, maintaining student records, assisting with the special education process, and potentially supporting specific instructional staff or administrative roles.

Requirements

  • High school diploma or GED, supplemented by coursework in business and office practices
  • Minimum of two years of responsible clerical experience, preferably in an education-related setting.
  • Excellent human relations skills, with the ability to build and maintain effective working relationships across all levels, including colleagues, students, parents, and the public, in a courteous and tactful manner.
  • Demonstrated excellence in business English grammar, spelling, and punctuation, with the ability to communicate clearly and concisely, both verbally and in writing.
  • Knowledge of business and school office procedures, practices, and equipment, as well as business English and standard office terminology.
  • Knowledge of the operation, uses, and capabilities of computer equipment and APS-utilized software systems (e.g., Synergy, Frontline, and STARS+), along with strong proficiency in Microsoft Word, Excel, Access, and related applications.

Responsibilities

  • Performs a full range of entry-level to fully proficient administrative support and secretarial duties to support the instructional program, assisting school administration, teachers, and overall school operations as assigned.
  • Serve as receptionist; greets all visitors, answers phone, distributes mail, etc.
  • Composes routine correspondence: may prepare information and presentation packets as needed.
  • Organize and maintain files.
  • Maintain complex student records.
  • Assist the special education process.
  • May serve as the Administrative Assistant to the Assistant Principal or Director of Counseling.
  • Support specific instructional staff.
  • May perform Attendance, Registration, and STARS Finance tasks.
  • Ability to dispense medications to students when necessary.
  • Other duties as assigned.
