About The Position

The American Association for Justice (AAJ) works to preserve the constitutional right to trial by jury and to make sure people have a fair chance to seek justice when they are injured by the negligence or misconduct of others - even when it means taking on the most powerful corporations. AAJ is seeking an Editorial/Administrative Assistant for its Publications department. The Editorial/Administrative Assistant will provide administrative support to the department.

Requirements

  • Bachelor’s degree.
  • One or more years’ clerical/administrative experience required.
  • Excellent writing, editing, and proofreading skills.
  • Exceptional organizational, communication, and interpersonal skills.
  • Excellent time management skills, including the ability to manage and meet deadlines and the ability to handle multiple assignments.
  • Aptitude for learning new programs.
  • Ability to identify priorities, work independently, and develop tactics for addressing issues or requests.
  • Keen eye for detail.

Nice To Haves

  • Database management experience preferred; strong word processing and computer skills.

Responsibilities

  • Carry out administrative duties including monitoring mail, email, and voicemail; organizing retention shelves and issue files; and drafting/ distributing author letters.
  • Perform editorial duties, including assisting the Trial magazine staff, formatting manuscripts, proofreading, arranging and tracking peer reviews, and responding to and tracking unsolicited article submissions.
  • Coordinate and input non-member subscriptions and sales using AAJ’s database, NetForum, create and mail subscription renewal invoices, and communicate with subscription services.
  • Handle invoices for processing.
  • Assist with the distribution of Trial and the Law Reporters.
  • Prepare and send pdfs of print and online content to authors and those licensed to distribute the content.
  • Respond to reprint requests.
  • Create and maintain indexes for topics, including authors, art, peer reviewers, and subscribers.
  • Serve as a backup to the Online Content and Data Manager, including producing e-newsletters and website pages.
  • Attend and participate in art and issue-planning meetings.
  • Send draft articles to production company.
  • Send final copy to production, as needed.
  • Maintain team Outlook calendar, noting important production dates.
  • Solicit answers to Trial’s Question of the Month and handles other sections of Trial, as needed.
  • Proofread pages and Insite, as needed.
  • Use AAJ’s database, NetForum, website, and other records to determine author information and engagement with AAJ.
  • Draft the monthly Trial blurb for social media and the AAJ website.
  • Provide administrative assistance with AAJ Press books, including but not limited to shipping, inquiries, and author royalties.
  • Perform other duties as assigned.
