The EDI Coordinator is responsible for seeking out, establishing, and maintaining all needs for EDI (Electronic Data Interchange) partnerships for accounts managed in the US. By enabling and supporting these data interchange system partnerships across various platforms, customers will be able to realize ease in purchasing, making Thorlabs a preferred vendor, and Thorlabs will experience increased efficiency and accuracy in the quote to cash process. Although the location of the position is in Newton, NJ, from time to time it may be required to undertake duties at other Thorlabs locations or to travel to customer sites as we look to align EDI efforts globally.

Requirements

  • 2-4 years’ experience within a customer-interfacing role.
  • 2-4 years’ experience in the design/management of EDI processes for trading partners.
  • Bachelor’s degree in Computer Science, Information Technology, Business Administration or a related field.
  • Strong sense of urgency to meet the needs of customers.
  • Strong attention to detail to ensure accuracy in communication and data exchanges.
  • Strong organizational and planning skills.
  • Solid understanding of EDI standards, mapping tools, and practices.
  • Proficient computer skills including MS Office Programs.
  • Basic knowledge of data types and structured data formats (excel, csv, text).
  • Basic knowledge of internet and network communication or ability to learn it.
  • Basic knowledge of a markup language (HTML or XML) or ability to learn it.
  • Ability to organize and manage projects and initiatives.
  • Demonstrated proactive and positive approach to problem resolution.
  • Ability to work across departments globally to provide tailored solutions and accurate information to customers.

Responsibilities

  • Contributes to the development of our EDI strategy, facilitating year-over-year growth of punch-out customer activity.
  • Serves as the primary point of contact and guides customers through the process of establishing electronic information exchanges with Thorlabs, performing any testing that is needed, and facilitating interactions and communication with key personnel to achieve a successful outcome.
  • Thorough understanding of the various punch-out platforms used around the world (Ariba, Jagger, Coupa, etc.), trading partner needs, and Thorlabs capabilities for efficient transfer of information.
  • Responsible for the configuration and mapping of EDI documents in close coordination with trading partners, service providers/EDI providers and internal departments.
  • Proactive exploration into areas for improvement or enhancement for existing EDI systems.
  • Updating and improving interactions with existing trading partners.
  • Improve the quality of all EDI transactions and related services delivered by analyzing existing processes, identifying areas for improvement, developing new solutions to streamline operations, and providing technical support as needed.
  • Monitoring daily electronic information and alerting issues.
  • Ability to review cXML to provide first level troubleshooting and resolution for failed data exchanges.
  • Captures customer requirements and partnerships in central repository.
  • Creates and maintains training documents and SOPs for punch-out opportunities with other global EDI coordinators.
  • Cleaning, reshaping, and formatting of data to allow for delivery of structured data files to the customer.
  • Timely updating and uploading of hosted catalog pricing files.
  • Be an engaged and helpful partner by answering questions and concerns quickly, facilitating a positive experience with our EDI services.
  • Organizes workflow to meet customer deadlines as well as meeting department goals and initiatives.
  • Understands and appropriately uses the company pricing system and policies.
  • Remains knowledgeable of all order processing standards and participates in order processing as requested.
  • Meeting company standards pertaining to quantity and quality of work performed on an ongoing basis, performing all work related tasks in a manner that is in compliance with all Company policies and procedures.
  • Adhering to Company policies, procedures, and directives regarding standards of workplace behavior in completing job duties and assignments.
