About The Position

The Early Learning Coordinator supports the Director in the daily operations, administrative oversight, and educational quality of the childcare program. This position ensures full compliance with all Florida Department of Children and Families (DCF) licensing standards, VPK requirements, accreditation standards, and agency policies. The individual in this role must maintain the current Florida Director’s Credential and a VPK Director Credential. This position also plays a key leadership role in student enrollment growth, including outreach planning, community engagement, parent communication, and coordination of events designed to increase and sustain student census. The Assistant Director acts as Administrator in the Director’s absence.

Requirements

  • Active Florida DCF Director’s Credential is required
  • Active Florida VPK Director Credential is required
  • High School Diploma or equivalent and two (2) years of college-level education is required.
  • Valid driver’s license and ability to obtain and maintain WestCare’s vehicle insurance is required
  • CPR Certification, First Aid Certification and an annual Tuberculosis test.
  • Minimum of two years of experience in early childhood education or childcare administration.
  • Knowledge of Florida DCF licensing regulations, VPK standards, and ELC reporting requirements.
  • Strong organizational, communication, and leadership skills.
  • Must have at least 480 hours experience in childcare setting serving children ages birth through eight years of age.
  • Proficient with Microsoft Office Suite or related software as required for recordkeeping and documentation.
  • Ability to exercise good judgment and discretion.
  • Ability to work well in a team environment.
  • Adherence to the highest standard of ethical conduct, especially to standards governing confidentiality.
  • Ability to use trauma informed care principles including ensuring consumer safety, preventing/avoiding re-traumatization, maximizing trustworthiness, enhancing consumer choice, maximizing collaboration, and emphasizing empowerment.
  • Ability to identify and describe key signs, symptoms, impact and manifestations of trauma.
  • Aware of the differences between trauma informed and trauma-specific services.

  • Understanding of issues related to individuals with varied identities in prevention, intervention, and treatment.

Nice To Haves

  • Graduation from an accredited four-year college with a degree in Addiction Counseling, Criminal Justice, Social Work, Psychology or related field is preferred
  • National Early Childhood credential or an active School-Age Child Care credential may be substituted for formal educational qualifications.

Responsibilities

  • Ensures full compliance with all Florida DCF childcare licensing standards, including documentation, ratios, classroom requirements, and staff training mandates.
  • Assists in setting educational standards and goals and helps establish protocols, procedures, and programs to achieve them.
  • Assists in determining the scope of educational program offerings.
  • Conducts regular classroom observations to ensure developmentally appropriate practices and continuous program improvement.
  • Ensures emergency preparedness plans are current, trained, and practiced according to state requirements.
  • Ensures a safe, healthy, and well-supervised environment by monitoring sanitation, safety, and security procedures.
  • Works toward obtaining childcare accreditation and maintains all required accreditation standards.
  • Assists in planning, directing, and monitoring instructional methods, curriculum implementation, and educational activities.
  • Assists in reviewing and evaluating new and existing programs for compliance, efficiency, and effectiveness, and recommends improvements as needed.
  • Assists in preparing program schedules, classroom plans, and staffing estimates.
  • Monitors student progress and supports teachers in addressing educational or behavioral concerns.
  • Teaches classes or provides direct care to children as needed.
  • Leads and supports outreach planning, recruitment events, and community engagement to increase student enrollment.
  • Reviews tour requests, schedules, and facilitates tours for prospective families.
  • Leads enrollment tours and provides program information to support families through the registration and orientation process.
  • Collaborates on strategies to increase and maintain student census.
  • Assists with updating and maintaining the enrollment waitlist.
  • Acts as Administrator in the Director’s absence.
  • Oversees daily center operations, including staffing, classroom activities, parent communication, and facility maintenance.
  • Supervises, trains, and evaluates childcare staff to ensure high-quality standards.
  • Maintains accurate and complete files for teachers and students.
  • Maintains inventory, supplies, uniforms, and equipment within budget.
  • Processes paperwork for new children and registers all student information.
  • Processes monthly tuition payments, submit billing, and monitors payment discrepancies.
  • Assists in providing weekly payment information to accounting.
  • Reviews ELC reporting requirements and ensures documentation is complete and submitted on time.
  • Assists in Completing invoicing and reporting for the Food Program.
  • Assists in preparing attendance, activity, planning, accounting, and personnel reports.
  • Assists in reviewing weekly teacher newsletters.
  • Assist Director with monthly scheduling of safety drills.
  • Assists in preparing required reports for funding agencies, licensing bodies, and organizational leadership as needed.
  • Builds and maintains positive relationships with parents, guardians, staff, and community stakeholders.
  • Greets visitors, answers calls, and supports front office operations.
  • Confers with parents and staff regarding educational activities, policies, and any student concerns.
  • Completes all orientation and required training within required timeframes.

  • Performs any additional duties as assigned.
