About The Position

The Due Diligence Records Coordinator is responsible for obtaining zoning, land use, environmental, and public records documentation from municipalities and governing agencies nationwide in support of commercial real estate due diligence reports. This role requires strong communication skills, attention to detail, critical thinking, and the ability to manage multiple active projects simultaneously while meeting internal production timelines and client deadlines. The ideal candidate is comfortable working in a deadline-driven environment, communicating professionally with government agencies, and maintaining accurate project documentation throughout the records acquisition process.

Requirements

  • 1-2 years’ experience in service-oriented environment requiring direct customer interaction
  • The ability to communicate effectively with clients, contractors, and team members both verbally and in writing
  • 1-2 years’ experience with data acquisition and/or data entry in a role requiring great attention to detail, problem solving and follow through
  • Ability to prioritize, balance and manage multiple projects/objectives in an organized manner with attention to detail and meeting set deadlines
  • Proficiency with Microsoft Office and web-based research tools
  • The ability to adapt to updates in technology and process
  • Ability to demonstrate a great work ethic (self-starter) – i.e., not afraid to jump in, learn the business and make an impact

Nice To Haves

  • Sales force experience is a plus but not required
  • Experience in records research, commercial real estate, due diligence, environmental services, legal support, permitting, or administrative operations is preferred but not required

Responsibilities

  • Submit and manage zoning, environmental, land use, and public records requests nationwide
  • Coordinate directly with municipalities, environmental agencies, and governing authorities to obtain required documentation
  • Review records and documentation for completeness, accuracy, and relevance to project scope
  • Maintain detailed request tracking and project documentation within internal systems
  • Support zoning and environmental analysts with research documentation and due diligence deliverables
  • Serve as a primary point of contact between municipalities, agencies, and internal operations teams
  • Conduct regular phone and email follow-up regarding request status, processing timelines, and outstanding documentation
  • Professionally communicate project requirements and documentation needs with local officials and agency representatives nationwide
  • Manage multiple active requests and priorities simultaneously within established turnaround timelines
  • Identify potential project delays, missing documentation, or process issues and proactively assist in resolution
  • Collaborate cross-functionally with analysts and operations personnel to support efficient project completion and client delivery timelines
  • Maintain organized project notes, communication records, and status updates
  • Maintain confidentiality of sensitive client information, project documentation, and acquired records
  • Ensure documentation handling and internal processes align with company quality standards and operational procedures
