About The Position

The Dual Property Coordinator supports the sales and leadership teams across two hotel properties, ensuring seamless event execution and administrative operations for both locations. This role takes full ownership of the details that make events and group bookings successful across both sites from setting up meeting spaces and coordinating catered functions to managing dual-property calendars and client relationships. This role is responsible for being highly organized, adaptable, and skilled at juggling time, communication, and priorities across two distinct property environments.

Requirements

  • High school diploma or GED equivalent required
  • Two or more years of experience in a hotel, clerical, or sales role preferred
  • Team-oriented with a collaborative approach
  • Highly organized with strong client follow-up skills
  • Competitive, self-motivated, and a natural self-starter
  • Exceptional written and verbal communication skills
  • Proficient computer skills, including Microsoft Word, Excel, and PowerPoint
  • Strong sense of urgency and ability to prioritize
  • Regularly required to sit; stand; bend; walk; use hands or finger; or feel objects, tools or controls; lift boxes (up to 15 pounds); talk and hear.
  • Vision abilities required by this job include close vision to a computer screen.

Responsibilities

  • Coordinates meeting plans, schedules, and functions across both property locations, ensuring seamless execution regardless of site.
  • Conducts property tours and presents hotel amenities, space options, and features for both hotels.
  • Secures meeting room business, issues contracts, and verifies that room setups meet customer specifications at each respective property.
  • Oversees event execution from setup through completion, balancing on-site presence between the two properties as dictated by event schedules.
  • Coordinates with both sales and operations teams to optimize space, resources, and staffing across both locations.
  • Works directly with kitchen and catering teams at each property to coordinate food and beverage details.
  • Assists with large group check-ins and arrivals at either property during peak demand.
  • Cultivates a respectful workplace across both teams by maintaining standards for attendance, performance, professional behavior, and sound judgment.
  • Maintains proficiency in the Property Management Systems (PMS) and MHC Sales Systems for both hotel properties.
  • Prepares and sends client proposals, contracts, and Banquet Event Orders (BEOs) for Sales/Ops meetings across both locations.
  • Ensures all sales documentation (BEOs, contracts, rooming lists, proposals) for both properties is accurate, timely, and compliant with brand standards.
  • Maintains organized, centralized, and up-to-date sales files, group histories, and customer data for each hotel.
  • Secures group business across both locations—managing room blocks, tracking cut-off dates, and issuing contracts.
  • Monitors and follows up on rooming lists, direct billing approvals, and special requests for previously booked business at both sites.
  • Coordinates schedules, correspondence, and daily workflows to support dual-property sales leadership.
  • Adheres to sales administrative standards, including multi-property report preparation, weekly sales calls, and deadline management.
  • Serves as a primary point of contact for clients across both hotels in the absence of the Director of Sales or Sales Managers.
  • Answers, filters, and routes incoming calls and lead inquiries promptly for both properties.
  • Responds to brand lead channels, voicemails, and walk-in inquiries for either location in a timely manner.
  • Leads site inspections and property showcases for potential group and event clients across both venues.
  • Assists in qualifying inside sales leads and supporting regional sales strategies for both properties.
  • Resolves client inquiries, requests, and concerns promptly to ensure high guest satisfaction scores at both hotels.
  • Manages client feedback and provides post-event/stay follow-up support across both properties.
  • Implements and upholds brand service recovery protocols for both hotel sites.
  • Fosters collaboration, clear communication, and teamwork between the staff and department heads of both properties.
  • Flexes work schedule and physical presence between both locations based on business demand and operational priorities.
  • Delivers consistent, high-quality service to clients, corporate guests, and team members across both hotel environments.
  • Ensures sales collateral, property kits, and promotional materials are stocked, organized, and available at both locations.
  • Maintains compliance with MHC company policies, brand standards, and local/state regulations across both operations.
  • Researches and cultivates prospective leads, coordinates promotional e-blasts, and participates in sales blitzes for both market segments.
  • Assists in identifying operational efficiencies and cost-saving measures across both properties, including inventory control for sales supplies.
  • Maintains a clean, safe, and professional workspace compliance at both hotel offices.
  • Performs other duties and special projects as assigned by the Director of Sales, General Managers, or regional management.
