About The Position

This position assists in organizing the orientation of new employees, scheduling and organizing in-service education programs, and maintaining required records. The role involves keying information into computer systems, ensuring timely scheduling and posting of in-services, and maintaining attendance records. It also supports the safety program, coordinates health examinations, and documents/coordinates fire/internal disaster drills. The DSD Assistant is expected to be courteous, cooperative, and promote good public relations. Additional duties include advertising for available positions, providing information, maintaining supply inventory, and contributing to team efforts. Regular attendance and dependability are crucial. The role may also involve assisting with HR and payroll duties and participating in facility surveys. Developing good working relationships with inter-departmental personnel and assisting in recording incidents/accidents are also key aspects. The position requires adherence to policies regarding resident privacy and reporting any suspected violations. Other duties as assigned by supervisors are expected. This position has no supervisory responsibilities.

Requirements

  • Must possess, as a minimum, a high school diploma or GED.
  • Must have exceptional communication and customer service skills.
  • Ability to read, analyze, and interpret general business periodicals, professional journals, technical procedures, or governmental regulations.
  • Ability to write reports, business correspondence, and procedure manuals.
  • Ability to effectively present information and respond to questions from managers and employees.
  • Ability to apply concepts such as fractions, percentages, ratios and proportions to practical situations.
  • Ability to solve practical problems and deal with a variety of concrete variables in situations where only limited standardization exists.
  • Ability to interpret a variety of instructions furnished in written, oral, diagram, or schedule form.
  • Knowledge in clerical functions and computer literacy.
  • Must have knowledge of office machines and equipment.

Responsibilities

  • Receive and follow schedule/instructions from supervisor and as outlined in established policies and procedures.
  • Assist in organizing the orientation of new employees according to regulations.
  • Assist the DSD in scheduling and organizing in service Education programs.
  • Assist the DSD to maintain all required records.
  • Keys information into computer systems.
  • Ensure that in services are scheduled timely and posted in designated areas.
  • Maintain current records of orientation and in service attendance for each employee.
  • Maintain department records in a complete and orderly manner.
  • Assist in coordinating the safety program and scheduling pre employment and current employee health examinations and tests as directed.
  • Document and/or coordinate all required Fire/Internal Disaster drills.
  • Be courteous, considerate and cooperative when communicating with all facility personnel, residents and the public.
  • Promote and maintain good public relations on behalf of the facility.
  • Advertise for available positions for the facility, as requested.
  • Provides information by answering questions and requests.
  • Maintains supplies inventory by checking stock to determine inventory level; anticipating needed supplies; placing and expediting orders for supplies; verifying receipt of supplies.
  • Contributes to team effort by accomplishing related results as needed.
  • Regular attendance and dependability.
  • May assist with HR and payroll duties.
  • Participate in facility surveys.
  • Develop and maintain a good working rapport with inter department personnel, as well as other departments within the facility.
  • Assist in recording all incidents/accidents.
  • File in accordance with established policies and procedures.
  • Agree not to disclose resident’s protected health information and promptly report suspected or known violations of such disclosure to the Administrator.
  • Other duties as assigned by the supervisor/DON/Administrator.
